About The RoleWe are currently recruiting for two Operational Document Controllers for the Skye Reinforcement project which will ensure the supply of secure, clean electricity to thousands of homes and businesses across the Hebrides and West Highlands. This is a siteâbased role â the successful candidates will be expected to be on site five days a week.
To manage and control all ops project documents and workflows to ensure accurate registration on BIMDocs, storage of information and correspondence, and accurate liaison with the site team, subcontractors, customers, and external suppliers.
To provide subjectâmatter expertise and coaching on the use of BIM360, SharePoint and any other informationâmanagement platforms to relevant teams and subcontractors.
What you\âll be doing
Manage and maintain confidential records such as operational documents.
Execute workflows and transmittal processes.
Control internal and external registers to ensure alignment.
Maintain templates and file relevant documentation on SharePoint, BIM360 and other platforms.
Distribute information with correct configurationâmanagement and revision control.
Seek continuous improvement on current systems and processes.
Provide timely information to the client, project team, and subcontractors.
Provide feedback on any documentation issues that impact the wider project.
Maintain a relentless focus on Zero Harm and contribute to observation and other KPIs.
Liaise with project teams to ensure understanding of document control.
Provide training as required to meet documentation control requirements.
Notify the project team of potential opportunities and risks.
Support review of supplyâchain specialists.
Support compilation, control and submission of H&S file/Quality handover information and ITPs throughout the project.
Identify opportunities for improvement.
Check and review formatting and QA of documentation.
Provide information for various project KPIs.
Manage own schedule and prioritize document submissions.
Ensure timely submissions where required.
Prepare weekly reports.
Manage review timeline.
Execute contractual documentâcontrol requirements as noted by senior personnel.
Accurately control digital information from preâconstruction through to archiving.
Manage business archiving so all documentation is efficiently stored and can be accessed at all times.
Who we\âre looking forThe Following Qualities/experience Are Essential
Proficient in IT systems and EDMS used in documentation control â BIM360, SharePoint, Aconex, ViewPoint, BC, ACC.
Experience of document control.
Understanding of BIM and digital tools, including a working knowledge of ISO19650.
Ability to understand how operations of the department relate to others and work collaboratively to achieve the best outcome for the business.
Excellent verbal and written communication skills at all organisational levels.
Good interpersonal skills that enable the development of working relationships at all levels and the ability to negotiate and influence.
The Following Qualities/experience Are Desirable
Experience working on a variety of project types.
Proficient on O365.
Holder of a current driving licence.
