Balance Education are currently working with a client based in Derby that is looking for an Academy Administrator.
Our client is a specialist automotive training/apprenticeship provider.
As the Academy Administrator, you will be accountable for ensuring learners are communicated to a week before they are due to attend their block training.
Managing and maintaining learning records whilst checking the accuracy and completion of learning events for all apprentices who attend the Academy.
To ensure compliance and quality standards are achieved, in a timely manner whilst carrying out receptionist duties for learners, being the face of the business and the first point of contact for the learners to support them on their journey with the academy.
Maintaining the relationship and managing internal booking system, joining instructions, contact between the Hotel management, answering all queries and actioning within a timely manner, occasional requirement to travel to the hotel.

Essential experience and qualifications:-
- - Educated to GCSE level grade C or above including Maths & English (or equivalent)
- - Computer Skills
- - Experience of carrying out a variety of administrative/reception tasks to a high standard
- - Experience of answering front line queries from staff and managers and offering guidance and support. Referring more complex queries where necessary.
- - Experience of delivering a high standard of Customer Service within a busy team
- - Experience of using your time management skills to work under pressure and to tight deadlines with the ability to plan and organise
- - Microsoft Office Skills
- - Understanding of administration processes
- - Excellent verbal and telephone skills with outstanding attention to detail and accuracy
Job Description:-
- - Actively contribute to maintenance of a professional and welcoming environment within all our centres
- - Identify learners with additional/learning support needs and ensure relevant tutor is aware
- - Leading apprentice delivery in the Academy
- - Support academy tutors to secure reflective learning accounts from learners following each block/learning event.
- - Approve block reports & learning activities within 24 hours
- - Booking and maintaining the systems via Hospitality Guaranteed
- - Making contact with learners a week prior to them attending block training to minimise any cancellations
- - Manage any prior cancellations and look to re schedule the learner on the next available block
- - Monitor & report on learner attendance in block & virtual sessions
- - Provide invigilation support when required
- - Cover reception duties for all learners (i. e. lunches, holidays)
- - Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
- - Answer, screen and forward any incoming phone calls while providing basic information when needed
- - Update and maintain relevant documentation relating to the company compliance department
- - Supporting the wider team with any administration duties where necessary.
- - Creating and streamlining academy processes alongside line manager
- - Any additional duties as a reasonable request
- - Contribute to the sharing of good practice and support continuous improvement throughout the Company
- - Promote a positive image of the Company and all the services it delivers
- - Any other duties reasonably requested by the line manager
- - Promote welfare and health and safety in the workplace upskilling knowledge regarding Safeguarding, British Values, Prevent and Equality & Diversity
