The Graduate Recruitment and Development Coordinator will deliver a full spectrum of Graduate Recruitment and Development (GR&D) activities as part of a best‑in‑class GR&D team, working closely with and providing first‑class support to the GR&D Manager, GR&D Partner, and Graduate Recruitment panels and stakeholders. The role‑holder will ensure first‑class recruitment processes and an outstanding candidate experience designed to attract high‑quality, diverse talent that supports the Firm’s Diversity and Inclusion strategy and strengthens the Firm’s market reputation as an employer of choice.
Main responsibilities:
- Applicant Tracking System: Manage candidates through the recruitment process, including inviting to testing, video interviews, and assessment centers. Maintain housekeeping of the system and support the Graduate Recruitment Officer (GRO) in creating reports.
- Assessment Centers: Plan and coordinate assessment days; book rooms, coordinate interviewer and assessor availability, and distribute interview paperwork. Ensure that correspondence with candidates is timely and that all interview information is tracked and recorded. Work with and produce a regular report for the GRO and GR Partner on interview, offer, and acceptance statistics.
- Offer Process: Manage the training contract offer process, including drafting offer paperwork, uploading candidate information to the onboarding platform, maintaining all relevant trackers, drafting training contracts, and terms and conditions of employment for future Trainee Solicitors.
- Screening/Candidate Management: Screen training contract, vacation scheme, and open day applications in conjunction with the Graduate Recruitment & Development Manager (GRDM) and GRDOs. Support the GROs in reviewing video interviews for all programmes.
- Future Trainees: Support the GRDO with our future trainee process, including training contract offers, grants, fee payments, and pastoral issues (supported by the GRDM). Organize SQE events and future Trainee Solicitor social events. Liaise with BARBRI on all SQE-related onboarding and administration. Support future Trainee Solicitors to book SQE 1 and 2 exams.
- Inclusion & Diversity: Support the GRDM and the Inclusion and Diversity team in ensuring best practice aligned to our inclusion and diversity strategy. Support diversity events alongside the GRDO & GRDM.
- New Trainee Joiner Process: Set up onboarding for Trainee Solicitors joining the Firm in March and September. Create system profiles for the Trainee Solicitors. Coordinate IT and other new joiner requirements for Trainee Solicitors.
- Trainee Solicitor Development: Assist with logistical arrangements for Trainee solicitor seat moves, including all system updates on HR systems. Provide support for the qualification process, including collation of evaluation forms and final seat feedback, creating and updating Trainee Solicitor summary sheets, qualification presentation, and managing the qualification secure intranet site. Manage the NQ offer process, including system updates, leaver process, and related SRA administration. Support the GRO in the secondment process, including assistance with secondment agreements, guides, and benefit changes.
- Other Responsibilities: Support the GRO in the attraction, recruitment, and implementation of the early careers outreach programme. Ensure that all recruitment processes and communications support the Firm’s brand and provide a world-class candidate experience. Ensure that recruitment activities and initiatives are aligned to the Diversity & Inclusion (D&I) strategy of the Firm and that D&I is embedded in all processes. Support the implementation of innovative strategies to attract diverse candidates. Build strong relationships with internal stakeholders, including the Graduate Recruitment Partner, Graduate Recruitment Panel, Trainee Solicitors, Associates, and key business services teams. Participate in assigned recruitment work-streams and sub-streams as required. Provide support, as and when required, to the Recruitment Leadership Team and work collaboratively as part of a regional Recruitment team, assisting other offices on recruitment activity and projects. Participate in various recruiter organisations to increase networking, knowledge sharing, and promotion of the Firm. Attend ad-hoc events and presentations as needed. Participate in ad-hoc project work as required. Share responsibility for the Graduate Recruitment inbox, drafting responses using template text and escalating any complex queries as appropriate. Produce standard recruitment reports and maintain master documents. Process applicant and Trainee/future Trainee Solicitor reference requests.
Skills and experience:
- Experience in a similar role within a professional services organization at coordinator level.
- Conscientious, flexible, and with a high level of attention to detail.
- Proficient in using Microsoft Word, Excel, PowerPoint, and Outlook.
- First class written and oral communication skills, with strong interpersonal skills.
- Able to maintain a calm, professional manner at all times, even when under pressure; acts as an ambassador for the Function and the Firm.
- Strong organizational skills and able to meet deadlines and multi-task in a fast-paced, matrix professional services environment.
- Able to plan, schedule, and arrange own activities to accomplish objectives.
