Baird Capital is seeking an experienced Executive Assistant to provide high-touch support to our London-based investment team on a fixed-term contract lasting up to 12 months. This is a highly visible role supporting Partners and junior investment professionals in a fast-paced, deal-driven environment where priorities can shift quickly and strong judgment, organisation and follow-through are essential.
This role offers the opportunity to be an integral part of a close-knit, collaborative team, combining traditional executive support with deal administration, CRM coordination, event planning, research and operational support. The ideal candidate is proactive, adaptable and comfortable taking ownership in a dynamic environment while delivering a consistently strong internal and external client experience.
This position offers flexibility to work Monday, Tuesday, Wednesday and Thursday in the London office and Friday remote.
The Impact You’ll Make:
- Provide seamless administrative support to Partners and junior investment professionals, helping the team stay organised, responsive and focused on business priorities.
- Manage complex, multi-time-zone calendars, meetings and conference calls in a fast-paced environment where priorities may change quickly.
- Coordinate extensive UK and international travel, including detailed itineraries, last-minute changes and timely expense submission.
- Serve as a key point of contact for deal and portfolio-related administration, including Salesforce updates, working group and insiders lists, deal notes and tailored reporting.
- Plan and support client lunches, closing dinners, sector events, marketing events and team gatherings, including venue research, logistics, invite tracking, budgets and on-site support as needed.
- Prepare and coordinate information for board papers, presentations, research requests and team reporting in a clear and accessible way.
- Complete NDAs, Gift and Entertainment forms and other documentation in line with Legal, Compliance and FCA requirements.
- Support onboarding for new Baird Capital Private Equity associates and assist visiting colleagues from other Baird offices with local logistics and timetabling.
- Represent Baird’s culture through honest, transparent communication, strong client service and a team-first approach.
What You’ll Bring to Baird:
- 5+ years of executive administrative experience, ideally within financial services, private equity, investment management or another fast-moving professional services environment.
- Proven ability to manage complex calendars, shifting priorities, travel logistics and expenses with accuracy and discretion.
- Strong written and verbal communication skills, with the confidence to build relationships and manage expectations across senior and junior stakeholders.
- Highly organised, detail-oriented and proactive, with sound judgment and the ability to anticipate needs before they arise.
- Strong client service mindset and the ability to work collaboratively within a close-knit, high-performing team.
- Proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint and Excel.
- Experience with Salesforce, SharePoint or other CRM/document management systems is advantageous.
- Curiosity and openness to continuous learning, including the use of AI tools to improve efficiency and support the team’s evolving needs.
