A very unique role has come up, working for a Philanthropic Global organisation who are creating innovative change within Human Rights and Gender Equality fields. This is a remote EA role, where monthly meetings in Central London will be required. The position is supporting an inspiring President who is looking for a very Senior Level EA who not only is unfazed by juggling global time zones but is a real people person and strong communicator.

This is a busy role, the pace is fast and they need an EA who is as excited by their mission as they are. Whilst this is a remote role, a very successful and supportive culture is in place with annual company meet ups and events.

The right candidate will have ideally worked within a not-for-profit organisation or for a Foundation, or has a huge interest to move into the social impact space.

Duties will include:

  • Diary Management – coordinate internal and external appointments, video calls across time zones (considering complex scheduling and multiple agendas as well as time zones) whilst proactively ensuring diaries reflect shifting priorities.
  • Meetings and Events – arrange internal and external meetings and events, including scheduling, greeting guests, coordinating logistics, catering, preparing agendas, circulating papers, tracking action points and taking minutes.
  • Travel support - organising visas, flights, trains, accommodation, transfers, currency, inoculations, scheduling meetings and preparing detailed itineraries and supporting briefing/materials, ground travel arrangements.
  • Email management (if required) - monitoring mails, drafting responses, highlighting urgent items for action, filing inbox.
  • Correspondence management- file and action incoming correspondence and prepare emails on behalf of the President.
  • Research support - collecting data, gathering information, conducting research (for instance, reviewing online source material).
  • Gathering and organizing briefing materials prepare weekly briefing packs for the President, and coordinate all briefing materials in advance of key events.
  • Expense Reporting – complete monthly expense reports, track all invoices and expenses in accordance with expense reporting policy.
  • Maintaining contact database.
  • General admin support - Support and work with other assistants on the team to coordinate work across the various teams and regions.

The ideal candidate will have:

  • Five or more years of relevant experience.
  • Excellent written, verbal, organizational, analytical and interpersonal skills.
  • Excellent verbal and written English skills.
  • Experience liaising with stakeholders and Board members.
  • High level of self-motivation and at ease working independently when necessary.
  • Proactive, positive and can-do attitude as well as flexibility to adapt.
  • Excellent computer skills, proficient in Microsoft Office and other software tools (project management software, database software, contact management systems).
  • Poised and works well under pressure.
