We are working with a fantastic, highly successful property business that is looking for an experienced PA & Admin Team Manager to join its London team. This is a brilliant opportunity for someone who loves being at the heart of a business and is looking for a role that combines people management, office operations and senior-level PA support.
This is a broad and varied position where no two days will be the same. You will take ownership of the administration function across multiple locations, leading and developing the support team while ensuring the offices and wider business run seamlessly. Alongside this, you will provide PA support to members of the Senior Leadership Team.
Key Responsibilities
- Leading, managing and developing the administration team across multiple locations
- Supporting and coaching the team, managing workloads and ensuring excellent coverage across the business
- Overseeing the smooth day-to-day running of the offices and ensuring they are welcoming, organised and operating efficiently
- Managing relationships with suppliers, contractors, landlords and building management
- Supporting office moves, refurbishments and wider workplace projects
- Overseeing office budgets, expenditure, supplies and equipment
- Taking ownership of administrative processes and looking at ways these can be improved
- Managing reception, visitors and meeting room coordination
- Supporting company events, meetings and internal activities
- Working closely with HR and IT across onboarding, offboarding and the wider employee lifecycle
- Managing health & safety requirements, workplace policies and third-party contracts
- Looking at ways technology and automation can improve administrative processes
- Providing PA support to senior leaders, including diary management, meeting coordination, travel and expenses
You will ideally have:
- Previous experience within office management, administration or Business Support
- Experience leading, managing and developing an administrative or support team
- Excellent organisational skills with the ability to juggle multiple priorities
- Strong stakeholder management and customer service skills
- A proactive approach and the confidence to take ownership and make things happen
- Excellent written and verbal communication skills
- Strong Microsoft Office and systems knowledge
- Experience managing budgets, suppliers and external contracts
- The ability to thrive in a busy, fast-paced environment
- A collaborative, personable approach and the confidence to work with people at all levels of the business
