Executive Assistant to Founder & Chief Investment Officer
This is an exciting opportunity for an Executive Assistant to support the Founder & Chief Investment Officer of a highly successful Asset Management Group, based out of stunning offices in Mayfair. The ideal candidate will be ambitious, highly detail-oriented, and have proven experience working at the C-suite level.
The role requires someone who thrives under pressure, remains adaptable to last-minute changes, and consistently anticipates the needs of the Founder. This position is based in the colourful Penthouse office in Mayfair, offering stunning views over Green Park. The successful candidate will work on-site four days per week and one day from home, with flexibility to come into the office if required. The role is within a small, friendly team where everyone is well-supported and happy to assist with additional responsibilities as needed.
The Role
- Manage complex diary scheduling, meetings, and travel arrangements.
- Oversee corporate banking tasks, invoice payments, and expenses.
- Draft and send professional correspondence on behalf of the Founder.
- Assist in preparing presentations, spreadsheets, and marketing documents.
- Build and maintain strong relationships with stakeholders, support teams, and Executive Assistants.
- Screen and manage incoming calls, prioritise inquiries, and provide timely follow-ups.
- Welcome and assist external visitors.
- Manage the Senior Office Administrator.
- Maintain an organised office filing system and collaborate with the Senior Office Administrator.
- Act as a liaison between the Founder and internal teams, facilitating effective communication.
- Plan and execute corporate events, including the Annual Meeting (held in Miami).
- Work closely with Investor Relations to manage and update the investor database, draft professional email communications, and conduct mailouts.
- Coordinate with IT support to manage tech setups for meetings.
- Assist with onboarding new employees.
- Liaise and maintain a strong relationship with the Personal Assistant.
- Handle ad hoc administrative tasks to support the Founder’s needs.
