Location: Edinburgh, Scotland

We are seeking a highly experienced, proactive, and dynamic Senior Executive Assistant to support a visionary entrepreneur and CEO of Windward Group. Based in the vibrant city of Edinburgh, you will be joining at a very exciting time as you support the CEO in both a business and private capacity and work with him across a broad portfolio as you get fully immersed in this role.

The ideal candidate will demonstrate drive, professionalism, and be that true right hand to the CEO and his high-achieving, close-knit team.

The intention is for this individual to be a key support to the CEO; identifying and pursuing efficiencies and the ability to drive things forward is integral to the role.

You will have at least 8 + years of previous Executive Assistant experience supporting at C-Suite in a fast-paced, professional environment and have outstanding interpersonal skills and a quiet confidence.

Main Responsibilities:

Executive Support

  • Manage and optimise the CEO’s complex calendar, including scheduling meetings, travel, and appointments across the CEO’s business portfolio and personal endeavours.
  • Prepare briefing materials, agendas, and follow-up notes for meetings, striving to make the CEO as effective as possible and making the most of his time
  • Serve as a facilitator liaison between the CEO and internal/external stakeholders, ensuring the CEO’s time is used wisely and purposefully.
  • Handle confidential information with the utmost discretion and professionalism.
  • Coordinate all logistics for several board and committee meetings, investor relations, and high-level strategic sessions.
  • Manage the CEO’s LinkedIn messages and responses to maintain professional engagement and presence.

Travel & Events

  • Plan and manage all aspects of domestic and international travel, including itineraries, accommodations, and on-the-ground logistics, for business and personal, including for the CEO’s close family.
  • Accompany the CEO on regular business travel to provide real-time support and coordination.
  • Plan and execute professional and personal events for the CEO, including logistics, guest coordination, and vendor management.

Personal Portfolio & Lifestyle Management

  • Working with the Chief of Staff, oversee and coordinate the CEO’s personal investments, including real estate holdings, new ventures, and philanthropic interests.
  • Liaise with brokers, legal advisors, and property managers to ensure smooth operations of personal assets.
  • Manage personal appointments, events, and family-related logistics as needed, this may include personal shopping, car maintenance and personal wellness including medical appointments.
  • Support the operations and initiatives of the Windward Foundation charity.

Strategic & Operational Excellence

  • Act as a thought partner to the CEO, offering insights and recommendations on operational improvements and time optimisation.
  • Lead special projects and initiatives on behalf of the CEO, ensuring timely execution and alignment with strategic goals.
  • Develop systems and processes to streamline administrative workflows and enhance productivity.
  • Support corporate governance, audit preparation, and the rhythm of meetings including action tracking and follow-ups.
  • Coordinate the CEO’s recruitment activities and onboarding processes.
  • Coordinate with non-executive directors and ensure alignment on board-level initiatives.
  • Collate and maintain action logs from meetings and ensure timely execution.

Ambassadorial Support

  • Represent the CEO with professionalism and poise in all interactions.
  • Mentor junior administrative staff and contribute to a culture of excellence and accountability.
  • Collaborate with internal teams to pull together the right people and resources to solve the CEO’s problem set.
