Job Description
We are working with an incredibly impressive boutique investment management company based in the heart of Mayfair.
Managing the wealth and investments of one family, this is not your traditional family office and operates very much as a professional investment business.
They are looking for a slick, bright, and proactive EA to become the right hand to their Managing Director, providing a mixture of business and private support.
Working within a close-knit team of around 10 people, you will work closely with the Chief of Staff to ensure the MD's incredibly busy day runs seamlessly.
For this role you need to be able to think ahead, confidently manage upwards, and solve problems before they reach the MD.
They don't want someone who needs handholding; they are looking for an EA who can hit the ground running and take genuine ownership.
The role β approximately 60% business / 40% private
- Complex diary and inbox management across multiple time zones.
- Acting as a true gatekeeper, confidently managing priorities and protecting the MD's time.
- Ensuring the MD is fully prepared for meetings, with all relevant information and documentation to hand.
- Preparing meeting packs, agendas, presentations and correspondence.
- Coordinating meetings, taking minutes and ensuring actions are followed up.
- Liaising with senior stakeholders including business partners, lawyers, accountants and advisers.
- Supporting international and domestic travel arrangements and itineraries.
- Managing expenses, invoices and financial administration.
- Supporting ad hoc projects, research and wider office requirements.
- Managing personal appointments, restaurants, events and social engagements.
- Coordinating family travel and requirements across UK and international properties.
- Liaising with household staff, contractors and suppliers.
- Assisting with gifting, purchases, personal administration and private events.
- Providing ad hoc support to the wider team within this collaborative boutique environment.
- The person
You will ideally be degree-educated with previous experience providing both business and private support to a senior executive, UHNWI or within a family/private investment office.
Longevity on your CV is important, alongside exceptional attention to detail and complete discretion.
You will be confident, solutions-focused, and comfortable managing upwards, with the initiative to make decisions independently.
Most importantly, you will be personable, incredibly organised and happy working collaboratively with the Chief of Staff while taking full ownership of the MD's day.
