The Facilities & QHSE Administrator plays a key role in supporting site operations, facilities coordination, and Quality, Health, Safety & Environmental (QHSE) compliance activities. The role combines administrative support with operational coordination to ensure the efficient running of the facility while maintaining high standards of health, safety, environmental compliance, and employee support. The successful candidate will act as the main point of contact for facilities-related matters and provide day‑to‑day support to the QHSE Manager and wider operational teams.
Job Duties
- Act as the main focal point for issues affecting the facility
- Coordinate and plan essential business services including building maintenance, reception activities, waste disposal, and site security
- Manage visitors and contractors, ensuring they are correctly booked in and briefed on site health & safety rules
- Procure and administer IT equipment for staff
- Provide first‑line IT administrative support including password resets and systems access
- Support onboarding activities for new employees, including site setup and health & safety inductions
- Coordinate off‑boarding activities for departing employees, including collection of security passes, company vehicles, IT equipment, and office equipment
- Organise meetings, customer visits, displays, and training sessions
- Liaise with the landlord regarding issues affecting the facility
- Record and report site greenhouse gas usage including heating, electricity, water, and waste
- Provide general administrative support to the senior leadership team as required
- Support the implementation, maintenance and monitoring of health & safety policies and procedures
- Support initiatives that reduce workplace accidents and improve overall site safety
- Organise and coordinate health & safety training programmes
- Maintain regulatory and accreditation requirements including ISO standards, Achilles, SafeContractor, and CHAS
- Assist with accident and incident investigations, compile reports, and recommend corrective actions
- Order, collect and issue PPE to employees as required
- Coordinate waste collections with the Warehouse Team and ensure all documentation is accurately archived
- Provide support in completing customer Pre‑Qualification Questionnaires (PQQs)
- Maintain accurate records of safety inspections, incidents and employee training
- Organise contractors as required to maintain compliance with facility regulations and standards
Education and Experience
- IOSH training or certification
- Previous IT administration experience
- Experience working within facilities management, operations or QHSE administration
