We are an innovative creative design and production agency delivering exceptional work across retail, visual merchandising, brand activation and experiential projects. Our team thrives on collaboration, quality, and efficiency, and we’re looking for a motivated Hybrid Studio Resource & Project Manager to help us scale our success.

The Hybrid role will act as both the organizational hub and execution engine for internal creative workflows and external client-facing projects. This role combines traditional traffic management, optimizing the flow of work through the agency, with additional client project management responsibilities from briefing to delivery, alongside our account teams.

You’ll work closely with creative teams, producers, account leads, freelancers, and clients to ensure that projects are delivered on time, on budget, and at the highest standard of quality.

Key Responsibilities
  • Resource & Workflow Management
    • Create, maintain and optimise all agency workflows: Including job intake, scheduling, handoffs, approvals, and delivery processes.
    • Lead weekly resource scheduling meetings and coordinate capacity planning across teams.
    • Assign tasks and resources (internal staff, external vendors, and freelancers) based on skills, availability, and priority.
    • Monitor real-time workload and pipeline to proactively identify bottlenecks or resource gaps.
    • Maintain and improve visibility of project statuses via dashboards and status reports.
  • Project Planning & Delivery
    • Develop detailed project plans, timelines, and milestones for creative and production work.
    • Track progress against deliverables, adjusting schedules and communicating changes to stakeholders.
    • Manage project approval routes, ensuring reviews and sign-offs happen on time.
    • Conduct weekly project status meetings and coordinate with creative, production, and account teams.
    • Identify risks early and create contingency plans to keep deliveries on track.
  • Client & Team Communication
    • Serve as a primary point of contact for internal teams regarding project updates, priorities, deadlines, and scope changes.
    • Partner with Account Managers to understand client business objectives and translate them into operational plans.
    • Maintain clear and timely communication on project status, risks, resourcing changes, and delivery forecasts.
    • Facilitate post-project retrospectives to capture lessons learned and refine agency processes.
  • Quality & Process Improvement
    • Conduct quality assurance checks to ensure deliverables meet specifications and brand expectations prior to release.
    • Support in the development of and refine internal standards and templates for briefs, schedules, reviews, and reporting.
    • Build and optimise project workflows and systems, including recommendations for tools and processes that could add value.
    • Provide insights and reports on resource utilisation, workflow health, and delivery performance.
  • Team Leadership & Stakeholder Management
    • Coordinate, motivate and manage freelancers and external creative vendors, from onboarding through delivery and performance feedback.
    • Coach, assist, and inform internal team members about project requirements, timelines, and agency processes.
    • Encourage knowledge-sharing and continuous improvement across teams.
Essential Skills & Qualifications
  • 2–5+ years’ experience in studio, traffic, project management, or creative operations, ideally within an agency environment.
  • Proficiency with project/traffic tools (e.g., Asana, Monday.com, Workfront, Jira, Notion).
  • Strong organisational and time-management abilities.
  • Excellent communicator with the ability to build strong relationships across teams and with clients.
  • Demonstrated ability to manage simultaneous projects, priorities, and deadlines.
  • A proactive, detail-oriented mindset with a passion for improving processes.
