The Role
This role provides essential administrative support to keep projects running smoothly, maintaining trackers, updating customer and voucher records, coordinating information between teams, and preparing simple progress updates. The role helps ensure deadlines are met by chasing missing information, highlighting issues early, and keeping documentation accurate, organised, and up to date.
What you’ll be doing
- Project Support
- Keep project trackers and spreadsheets up to date.
- Record customer connection progress against programme timelines.
- Track voucher status (issued, pending, submitted, approved) and provide insight and analysis to inform decision-making.
- Ensure all key milestones are recorded accurately and consistently.
- Support project teams by sending routine updates or reminders.
- Team Coordination
- Act as a central point for sharing information between the PMO, Connections Coordinators and Vouchers team.
- Chase missing information or incomplete records when needed.
- Flag any issues or delays to the relevant team.
- Voucher & Customer Record Support
- Monitor voucher deadlines and alert the team if anything is approaching.
- Cross-check customer connection status with voucher requirements.
- Ensure complete documentation is collected and recorded.
- Reporting
- Produce weekly or fortnightly updates using project data.
- Provide accurate data to the PMO for governance and reporting cycles.
- Highlight trends, bottlenecks and recurring issues that require action.
- Process Support & Improvement
- Help to support the continuous improvement of delivery workflows.
- Support standardisation of documentation and tracking methods.
- Maintain clear audit trails across project and voucher activity.
REQUIREMENTS
- Strong administrative and organisational skills.
- Confident working with MS Excel spreadsheets.
- High attention to detail and accuracy.
- Clear communicator who has the ability to work collaboratively.
- Able to prioritise and manage multiple competing tasks.
- Proactive and takes the initiative to raise improvements.
- Experience in project coordination or operational support roles.
- Familiarity with project tracking systems or delivery workflows (e.g Asana/Nexus).
- Experience in telecommunications, infrastructure or similar industries.
