Purpose of role: To undertake all clerical, reception and administrative duties applicable to the medical practice.
Job Overview
Main duties and responsibilities:
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
- Deal with all general enquiries, explain procedures and make new and follow‑up appointments.
- Use your own judgment and communication skills to ensure patients with no prior appointment but who need urgent consultation are seen in a logical and non‑disruptive manner.
- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required; divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Deal with requests for home visits, ensuring careful recording of all relevant details on the medical system and where necessary refer to Duty Doctor.
- Check visit and message screens and ensure visits have been taken and messages dealt with prior to close of surgery.
- Action requests for ambulance transportation in accordance with company policy.
- Ensure all necessary procedures are carried out at end of day in line with company policy.
- Advise patients of relevant charges for private (Non General Medical Services) services, accept payment and issue receipts for same; ensure cash boxes are locked away and kept from clients’ view.
- Enter patient information/scan documentation onto the computer in a timely and accurate manner as required.
- Summarise patient medical records on the medical system as required.
- Ensure patient comfort in the waiting room.
- Utilise ICE or other systems as required/appropriate.
- Deal with all mail in an appropriate manner in line with company policy.
- Ensure incoming emails are given to the appropriate staff member and dealt with efficiently, as well as outgoing emails.
- Handle petty cash.
- Ensure all new patients are registered onto the computer system promptly and accurately.
- Process patient change of address/contact numbers.
- Handle complaints in line with company policy.
- Support the Practice Manager to maintain CQC compliance.

- The post holder will identify any of his/her training needs to be discussed with the practice manager.
- The post holder will be expected to work as part of the whole team and to behave in a professional manner.
- The post-holder should recognise the importance of effective communication within the team and will strive to communicate effectively with other team members and patients and carers.
- Recognise people’s needs for alternative methods of communication and respond accordingly.
- The post holder will maintain awareness within the Practice of health and safety matters, particularly regarding computer usage, and advise the Operational Manager accordingly.
- If necessary, conduct a training programme for personnel with regard to this.
- The post holder needs to be aware of the requirements of the Data Protection Act and ensure that the legislation is adhered to.
- The post holder will have the ability to work unsupervised and prioritise workload.
- The post holder will agree to undertake all necessary training as required.
