Role Summary
We’re offering an excellent opportunity for a dedicated and organized individual to join our AFJ family as an Inventory and Online Fulfillment Associate.
In this semi‑autonomous role, you will be responsible for efficiently managing the flow of stock and orders within our London business.
Your core accountabilities will include overseeing inventory movements, maintaining accurate records, and coordinating order dispatch and deliveries to ensure seamless operations across both online and in‑store channels.
You will work both independently and collaboratively with the store team and international colleagues, supporting the overall logistics process to deliver a high standard of service and operational efficiency.
- Main Responsibilities
- Monitor and manage stock levels for all online inventory, liaising with the Cairo team to ensure timely deliveries of core and bestselling lines and sizes.
- Work alongside the store team and Store Manager to maintain accurate store inventory records: Import and update new stock items into the Lightspeed Inventory system; Update prices and quantities for existing inventory items as required.
- Regularly report on in‑store stock levels and resolve any discrepancies with the store and Cairo teams.
- Coordinate all incoming stock, including receipt and reporting of incoming stock to the Cairo team; organize hallmarking for all incoming and outgoing stock, including creating orders for hallmarking and coordinating delivery and return of assayed stock.
- Ensure secure storage and organization of all stock in back‑of‑house and safe areas, maintaining safety during and outside trading hours.
- Wrap and pack all online orders and store orders for UK and international deliveries with care and accuracy.
- Prepare all export invoice documentation, ensuring compliance with tariffs, import/export procedures, and HS coding.
- Create and maintain workflows for recording all outgoing online orders, tracking details, and updating store and online teams on order status, delays, and returns promptly.
- Correspond with customers and store teams regarding tracking details and order updates.
- Facilitate customer returns for both online and store stock, ensuring efficient processing in line with company policies and accurate stock reallocation.
- Liaise with couriers and carriers to ensure accurate documentation and timely dispatch of all online orders, in‑store deliveries, and PR requests.
- Coordinate timely deliveries of packaging materials for all aspects of the London business, including separate allocation for online stock, high jewelry packaging, PR materials and gifts.
- Manage ordering and maintenance of all requisites for the online business, such as packaging materials, labels and branded packaging.
- Maintain clear and timely communication within the London business and with international teams to ensure smooth operations.
- Provide accurate and regular reports on stock levels, order statuses and any issues affecting inventory or fulfillment.
- Work independently without supervision when required, while also collaborating effectively with the store team.
- Utilize Excel proficiently for data management and reporting.
- Use internal inventory management systems, such as Lightspeed, for stock updates, pricing and order tracking.
- Maintain accurate digital records of all stock movements and order fulfillment activities.
Education & Experience
- Education: High school diploma or equivalent.
- Work Experience: 0‑2 years of experience, preferably within a high‑end luxury branded environment.
Skills
- Ability to work independently without supervision while maintaining strong communication with the wider team.
- Strong organizational skills to manage workflows and inventory systems effectively.
- Proficiency in Excel for reporting and stock tracking.
- Knowledge of internal inventory systems (e. g., Lightspeed) preferred.
- Understanding of import/export procedures, tariffs and HS coding.
- Excellent communication skills for both internal coordination and customer interactions.
