About the Role

We are looking for an organised, proactive and commercially minded Sales Operations Executive to join our growing technology business. This is an exciting opportunity for someone looking to build a long-term career in sales operations. Working closely with our Head of Operations & HR, you'll receive ongoing mentoring, training and development, with a clearly defined progression path towards becoming a Sales Operations Manager.

As a central member of the operations team, you'll support the full customer lifecycle—from preparing quotations and processing orders through to software renewals, supplier management, logistics and customer support. You'll work closely with customers, account managers, vendors, distributors and internal teams to ensure an outstanding customer experience while keeping day-to-day operations running smoothly.

Key Responsibilities

  • Prepare accurate customer quotations and proposals.
  • Convert quotations into sales and purchase orders.
  • Support Account Managers with pricing, supplier sourcing and commercial information.
  • Process customer orders accurately and efficiently.
  • Maintain customer, opportunity and order information within CRM and ERP systems.
  • Provide customers with regular updates throughout the order lifecycle.
  • Assist with customer onboarding activities.
  • Manage shared inboxes and respond promptly to customer enquiries.
  • Schedule and conduct customer business reviews to measure satisfaction, identify improvement opportunities and support account growth.
  • Complete customer due diligence and security questionnaires.

Renewals & Licensing

  • Manage software and managed service renewals.
  • Issue renewal quotations at least 90 days before contract expiry.
  • Monitor renewal opportunities and proactively follow up with customers.
  • Process licence amendments, reductions and cancellations.
  • Liaise with software vendors regarding licensing requirements and renewals.

Supplier & Vendor Management

  • Build and maintain strong relationships with suppliers and distributors.
  • Source competitive pricing and product availability.
  • Negotiate commercial terms where appropriate.
  • Ensure compliance with supplier rebate programmes.
  • Support supplier onboarding and due diligence activities.

Export & Logistics

  • Prepare export and shipping documentation.
  • Coordinate domestic and international deliveries.
  • Liaise with freight forwarders, couriers and customs agents.
  • Calculate duties and landed costs where required.
  • Process Certificates of Origin and related export documentation.
  • Monitor shipments and provide delivery updates to customers.
  • Review freight invoices and shipping costs.
  • Support export compliance requirements.

Returns Management

  • Manage customer return requests and RMA processes.
  • Coordinate product collections, replacements and credits with suppliers.
  • Track outstanding returns through to completion.
  • Escalate delays or issues to ensure timely resolution.

Reporting & Business Systems

  • Produce sales, operational and renewal reports.
  • Maintain accurate data across CRM and ERP platforms.
  • Monitor open orders, backorders and sales pipelines.
  • Produce renewal forecasts and operational reports.
  • Support continuous process improvement initiatives.
  • Assist with the implementation and optimisation of operational systems.

Systems & Software

Experience with the following would be advantageous:

  • Microsoft Dynamics
  • Microsoft Business Central
  • CRM and ERP systems
  • Microsoft Excel
  • Power BI

About You

We’re looking for someone who is highly organised, customer-focused and enjoys solving problems. You’ll be comfortable working across multiple tasks while maintaining excellent attention to detail. You’ll ideally have:

  • At least 3 years’ experience in Sales Support, Sales Operations, Customer Service or a similar operational role.
  • Experience within an MSP, software reseller, technology distributor or IT services environment.
  • Strong commercial awareness and excellent problem-solving skills.
  • Experience managing quotations, customer orders, renewals and supplier relationships.
  • Excellent communication and customer service skills.
  • Strong organisational and administrative abilities with exceptional attention to detail.
  • Experience negotiating pricing and working with suppliers or vendors.
  • Knowledge of software licensing (desirable).
  • Experience with export administration and international shipping (advantageous).
  • Familiarity with ISO 9001, ISO 27001 or similar quality and information security standards (desirable).
