We are looking for an experienced and skilled Executive Assistant & Office Manager to support our founder, the leadership and operations teams, and manage our London office. You’ll be the go-to person for keeping things moving—ensuring our office is welcoming, our systems run efficiently, and our team has the support they need to do their best work. You’ll thrive in this role if you’re dependable, detail‑oriented, and great at juggling priorities in a fast‑paced environment.
Your responsibilities will include:
- Executive Assistant
- Manage the Founder’s inbox, prioritising emails, ensuring timely responses, and flagging items for follow‑up to keep their day‑to‑day running smoothly.
- Coordinate the Founder’s diary across internal teams and external stakeholders, organising meetings, managing conflicts, and acting as the main gatekeeper.
- Serving as a source of information and the go‑to person for all things related to the founder.
- Support People Operations initiatives, including maintaining employee records, onboarding and off‑boarding processes, co‑ordinating ad‑hoc HR tasks.
- Supporting the CFO and COO where needed—diary and inbox management, and working on projects as needed.
- Assisting the Finance team with expenses and policy tracking.
- Manage the day‑to‑day operations of our London office; manage suppliers and contractors, office supplies, budget and office policies.
- Being the face of our London office and welcoming visitors.
- Helping ensure the Health and Safety of our team, including undertaking DSE Assessments and serving as a trained First Aider and Fire Warden.
- Coordinate team lunches, dinners, and internal events; support the planning of engineering on‑sites.
Skills & Experience
- Skilled EA with 7+ years experience supporting C‑suite level executives.
- Previous experience in office management.
- Excellent organisational and multitasking skills with the ability to prioritise.
- Comfortable working with different teams and happy to support colleagues across the business.
- A proactive problem‑solver who takes initiative and gets things done.
- Strong written and verbal communication skills.
- Comfortable with Google Workspace, Notion, and other collaboration tools.
- Someone enthusiastic, adaptable, and happy to take on a variety of tasks.
- Must be willing to work at least 3 days a week from the Aztec office in Farringdon, central London.
