Ayre Chamberlain Gaunt is looking for a bright, organised and reliable Business and Finance Support Administrator to join our Hampshire studio on a full-time basis in the studio 5 days per week. This is an excellent opportunity for someone who enjoys variety, takes pride in accuracy and organisation, and wants to play an important role in supporting the day-to-day running of a busy architectural practice. The role combines finance administration, office coordination, business support and database administration, making it ideal for someone who is proactive, detail-focused and keen to contribute across a wide range of tasks. We are actively seeking someone self-motivated with the passion and drive to learn and develop in the role.

The role

As Business and Finance Support Administrator, you will help ensure the smooth and efficient running of our Basingstoke studio by supporting finance processes, office administration, facilities coordination, compliance records and project database administration.

Key responsibilities include:

  • Processing purchase invoices, purchase orders and expenses using Dext, Xero and CMAP
  • Monitoring the finance inbox and maintaining accurate supplier and customer records
  • Supporting monthly accounts reporting
  • Providing day-to-day office and administrative support to the studio
  • Managing supplies, facilities coordination and visitor arrangements
  • Supporting health and safety, compliance and quality management processes
  • Assisting with onboarding new starters, IT set-up and shared administrative systems
  • Maintaining accurate project, lead and contact data in CMAP and on the server

About you

We are looking for someone with strong administrative potential, excellent attention to detail and a positive, flexible approach. You will ideally:

  • Be confident using digital systems and managing accurate records
  • Have strong organisational skills and the ability to prioritise effectively
  • Communicate clearly and professionally
  • Be proactive, reliable and willing to learn
  • Be comfortable working across both routine tasks and ad hoc requests

You do not need to have done exactly this role before, but you should be confident using systems, comfortable handling administrative processes, and keen to support the wider team.
