Aylesford Medical Centre is an established and friendly practice located within the Royal British Legion Village in Aylesford, Kent. We are looking to recruit an administrator on a zero hours contract to cover for staff leave and sickness.
Main duties of the job:
- You will be required to cover reception, secretarial and other administrative duties within the Surgery on an ad-hoc basis over a variety of days and hours. Full training will be given.
Job responsibilities:
- Maintain and monitor the Practice appointment system.
- Process personal, telephone and e-requests for appointments.
- Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately.
- Signposting patients to the correct service.
- Initiating contact with and responding to requests from patients, team members and external agencies.
- Code data on the clinical IT system.
- Photocopy documentation as required.
- Data entry of new and temporary registrations and relevant patient information as required.
- Input data on to patients healthcare records as necessary.
- Direct requests for information i.e. SAR, insurance/solicitors letters and DVLA forms to the administrative team.
- Manage all queries as necessary in an efficient manner.
- Maintain a clean, tidy and effective work area at all times.
- Monitor and maintain reception notice boards.
- Support all clinical staff with general task requests.
- Action incoming emails and correspondence as necessary.
- Scan patient related documentation and attach scanned documents to patients healthcare records.
- To support the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
- To read, scan, code (training provided) and action all documentation coming in to the Surgery in relation to patients and filing them on to patient records as per protocols.
- Typing letters, reports and associated documentation as required.
- Liaising with external agencies such as Hospitals and community services, ensuring referrals are processed efficiently.
- Maintain an accurate referrals database.
- Processing referrals using the electronic Referral System (ERS).
Person Specification:
- Previous experience of working within a GP Surgery in a similar role.
- Experience of using EMIS, Doris and Docman.
- Flexible.
