The Scheduling Administrator provides administrative, coordination and operational support to the Scheduling function. The role supports the effective operation of scheduling systems and processes through accurate record keeping, reporting, stakeholder coordination, document management and governance support.

The post holder will work closely with the Head of Scheduling, operational teams and other stakeholders to ensure scheduling activities are delivered efficiently and in line with organisational standards. They will also play an important role in maintaining the quality and accuracy of information held within our scheduling systems.

This is a 6-month fixed-term contract, with the potential for extension subject to business requirements.

Key Responsibilities

  • This is a fixed-term contract for 6 months, providing support to the Scheduling function during a period of business change and system development.
  • Provide day-to-day administrative support to the Head of Scheduling and the wider Scheduling Team.
  • Maintain accurate records, system data, trackers and document repositories.
  • Support the administration and effective use of scheduling systems, including FLS.
  • Monitor scheduling data and take action to resolve or eliminate errors, gaps and inconsistencies.
  • Assist with user access requests, system administration and routine updates where appropriate.
  • Support testing linked to system upgrades, enhancements, integrations and process changes.
  • Work with information held across FLS, Microsoft Dynamics and other connected systems.
  • Produce routine reports, dashboards and management information to support operational performance.
  • Gather, validate and present information from a range of sources.
  • Assist with the preparation of performance reports, presentations and updates for stakeholders.
  • Maintain trackers for actions, risks, issues and change requests.
  • Support compliance with governance processes, organisational policies and information management requirements.
  • Maintain process documentation, user guides and standard operating procedures.
  • Ensure records are accurate, up to date and readily available when required.
  • Act as a key point of contact for scheduling-related administrative queries.
  • Liaise with operational teams, business stakeholders, suppliers and system users.
  • Coordinate training sessions and engagement activities.
  • Support the onboarding and ongoing support of scheduling system users, including operational resource.
  • Identify opportunities to improve administrative processes and ways of working.
  • Support service improvements, system developments and operational change initiatives.
  • Contribute to the delivery of an efficient and effective scheduling support service.

Knowledge, Skills and Experience

Essential

  • Experience using a scheduling, workforce management or similar operational system.
  • Excellent administrative and organisational skills.
  • Strong attention to detail and the ability to maintain accurate system records.
  • Experience producing reports, maintaining trackers and managing documentation.
  • Confidence working with data and identifying errors or inconsistencies.
  • Proficiency in Microsoft Office applications, including Excel, Outlook, Teams, Word and PowerPoint.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities and work to deadlines.
  • Ability to work collaboratively with a range of operational and business stakeholders.

Desirable

  • Experience using FLS or a similar scheduling and workforce management system.
  • Experience using Microsoft Dynamics or a similar CRM or business management application.
  • Experience working with integrated systems and information shared across multiple applications.
  • Experience supporting scheduling, workforce planning, repairs, maintenance or another operational function.
  • Experience supporting system upgrades, testing, projects or change initiatives.
  • Understanding of data quality, information governance and system access requirements.
  • Experience producing performance reports, dashboards and management information.
  • Experience preparing user guides, process documents or standard operating procedures.
