The Role

We are looking for an organised and proactive Commercial Administrator to provide administrative and commercial support to the Commercial Manager and wider Commercial team within CLC Division 32, supporting MOD Housing contracts.

The role plays a key part in ensuring effective commercial operations through accurate cost control, subcontractor administration, payment processing and commercial record management. Working closely with internal teams and suppliers, you will help maintain accurate financial records, support reporting requirements and contribute to the smooth delivery of works across the contract.

This is an excellent opportunity for someone with strong administrative skills, attention to detail and an interest in commercial operations within a fast-paced property maintenance environment.

Responsibilities:

  • Updating and maintaining commercial trackers, including quotations, purchase orders, subcontractor applications, invoices, variations and committed costs.
  • Supporting billing activities within Concept, ensuring job details, cost codes and supporting information are accurate and complete.
  • Assisting with the processing and administration of subcontractor orders, applications, invoices and payment documentation.
  • Chasing and collating quotations, invoices, insurances, accreditations, RAMS and other subcontractor documentation.
  • Maintaining accurate commercial records and ensuring all project documentation is correctly filed and easily accessible.
  • Supporting the preparation of cost reports, valuations, payment schedules and other commercial reporting requirements.
  • Liaising with operational teams, suppliers and subcontractors to obtain information, resolve queries and support project delivery.
  • Reviewing applications, invoices and supporting evidence, highlighting any discrepancies or missing information.
  • Assisting with tender administration, including downloading, organising and issuing tender and pricing documentation.
  • Monitoring outstanding actions, payment queries and documentation requirements, escalating issues where appropriate.
  • Supporting compliance checks to ensure subcontractors and suppliers meet contractual and company requirements.
  • Drafting correspondence and maintaining regular communication with internal and external stakeholders.
  • Providing general administrative support to the Commercial Manager and wider Commercial function as required.

About You:

  • Strong administration skills with good attention to detail and accuracy.
  • Confident user of Microsoft Office, particularly Excel, Word and Outlook.
  • Good written and verbal communication skills.
  • Ability to organise workload, prioritise tasks and work to deadlines.
  • Commercial awareness or an interest in developing within quantity surveying, procurement or commercial management.
  • Experience in construction, maintenance, housing, defence, facilities management or similar environments would be beneficial but is not essential.
