The Role
We are looking to recruit an experienced Administration Team Leader to join our Repairs & Maintenance Division.
Reporting to the Contract Manager, this role is responsible for leading, managing and developing a team of administrators supporting responsive and communal repairs. You will play a key role in ensuring administrative processes are efficient, accurate and customer focused, while supporting operational delivery, contractual compliance and KPI performance.
This is an excellent opportunity for a motivated leader with experience within repairs, maintenance or property services who enjoys developing teams, driving continuous improvement and delivering outstanding customer service.
What You’ll Deliver
- Provide day-to-day leadership, guidance and supervision to a team of administrators.
- Allocate workloads effectively, ensuring priorities are clear and service levels are maintained.
- Hold regular team meetings and one-to-one reviews to support performance, wellbeing and professional development.
- Manage annual leave, sickness and absence in line with company procedures.
- Support recruitment, onboarding and training of new team members.
- Monitor quality, accuracy and performance across the administration function and identify opportunities for improvement.
- Address performance and conduct issues appropriately, escalating where required.
- Oversee repairs and communal repairs mailboxes, ensuring enquiries are actioned promptly and accurately.
- Ensure job updates, notes, follow-on orders and completions are recorded correctly within company systems.
- Support supervisors and operational teams with reporting and administrative activities.
- Maintain contract registers, trackers and supporting documentation.
- Support work in progress (WIP) management and contract performance.
- Process orders and prepare client invoices using company systems.
- Assist with monitoring contractual KPIs and producing performance reports.
- Act as an escalation point for complex administrative and customer queries.
- Build effective relationships with residents, clients, subcontractors and internal stakeholders.
- Attend operational and contract meetings and communicate key information back to the team.
- Ensure compliance with company policies, procedures and contractual requirements.
- Maintain accurate audit trails and records for compliance and reporting purposes.
- Support contract social value commitments and sustainability initiatives.
- Oversee office IT requirements, liaising with IT support where necessary.
- Organise team meetings, events and office logistics.
About You
- Previous experience leading, supervising or mentoring an administration team.
- Experience working within the property maintenance, repairs or housing sector.
- Strong understanding of repairs terminology, service delivery and performance KPIs.
- Excellent organisational skills with the ability to manage competing priorities.
- Strong written and verbal communication skills.
- Customer-focused approach with the ability to remain calm under pressure.
- High levels of accuracy and attention to detail.
- Confident using Microsoft Office applications and job management systems.
- Proactive and solutions-focused mindset.
- Ability to build positive relationships across operational and administrative teams.
- Strong work ethic with a commitment to delivering excellent service.
