We are currently seeking a Surgical Scheduler for our West Essex OB/GYN practice in Livingston, NJ.
Location: Livingston, NJ
Full‑Time Hours: 5 days/week – 9:00 am–5:00 pm
Pay or shift range: $18.00 to $24.00
Responsibilities:
- Schedules patients for office‑based procedures and surgeries as well as hospital/surgical center procedures and surgeries within appropriate time/location slot and using the appropriate scheduling code.
- Schedules necessary diagnostic and imaging tests for patients to be completed prior to procedures/surgeries, ensuring patients have proper medical clearance.
- Effectively utilises clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.
- Confirms patient insurance coverage and either obtains prior authorization or communicates need for prior authorization to appropriate parties as needed.
- Provides accurate and detailed information to patients regarding test preparations, arrival times, and any other directional information needed, and takes appropriate action in responding to questions from patients.
- Completes accurate documentation of informed consent with patients for procedures and surgeries as needed, and ensures completion of assessment for advance directive, including DNR, when applicable.
- Reviews discharge instructions with patients and ensures proper follow‑up appointments are scheduled at the time procedure/surgery is scheduled.
- Interfaces with appropriate vendor staff as needed to ensure all necessary equipment will be on site for office and hospital‑based procedures/surgeries, including scheduling with contracted anesthesia groups, and with appropriate hospital staff to ensure a cohesive working relationship in providing patients an excellent quality of care.
- Enters notes and any special instructions needed for scheduling into the electronic medical record.
- Completes pre‑procedure phone calls and confirms appointment times with patients; communicates any changes in scheduled appointments with patients in a timely manner.
- Completes FMLA/Disability paperwork as needed.
- Assists other members of the department as needed.
Skills:
- Excellent interpersonal skills and communication skills, both written and verbal, to communicate with patients, healthcare professionals, and other healthcare staff.
- Excellent data entry and meticulous attention to detail.
- Excellent computer skills and ability to navigate EMR.
- Critical thinking skills.
Education: Previous surgical scheduling experience highly preferred. OB/GYN or Reproductive Endocrinology and Infertility scheduling experience highly preferred. EMR familiarity and experience required.
