Workplace Experience Partner (Facilities – Soft Services) – 9 Month Fixed Term Contract. UK & Lloyds, London.

The main responsibility of the Workplace team is ensuring the smooth running of the daily operations and experience to provide best-in-class environments to drive the business forward. The successful candidate will be proactive and creative and will be encouraged to express new ideas on improving the overall workplace, ensuring that we are using our resources to the optimum.

The Workplace Experience Partner is responsible for ensuring exceptional delivery standards for the workplace environment. Working closely with other members of the workplace team and their suppliers to ensure effectiveness of services and solutions across the main offices. From front of house to security, the Workplace experience is a key player for colleagues, guests, internal visitors and suppliers. This is a facilities role looking at the Soft Services for our offices and colleagues across the UK.

What You’ll Be DOING

What will your essential responsibilities include?

  • Working with key internal and externals stakeholders as well as other entities on the day-to-day performance of the service providers, confirming service aligns with customer and the Operation Director UK & Lloyds expectations. Continuously reviewing ways to improve the service and overall workplace experience.
  • Develop and manage a strong communication strategy on all levels to ensure cohesive stakeholder engagement across all sites, sharing any process change, service enhancement or workplace related impacts to staffs.
  • Report regularly on tasks and offices activity to the stakeholders.
  • Working with the Workplace Community team Leader on Induction process for colleagues
  • Deliver a safe, secure, and inclusive work environment by providing excellent standards of workplace accommodation and high-level services for all staff, guests, and other occupiers of the premises.
  • Working closely with the Technical Partner to ensure that all health and safety audits as well as security audit and risk assessments are carried out on a regular basis in accordance with best practice guidelines. As well as managing First aider and fire marshal training and record for colleagues.
  • Ensuring the provision of effective and cost-efficient services in all offices, through the creation of effective facilities management system
  • Working with the team and suppliers on efficient business continuity plan to support good operation of the business
  • Ability to travel to other AXA XL Sites (Birmingham, Manchester, Chelmsford, Ipswich and Lloyds) supporting the workplace technical partner and Workplace Community leader and its team, to ensure we are delivering the same standard of services across all offices.
  • Implementing the key internal control measures set by the company into the day-to-day operation and within our supplier chain
  • Driving innovation project within the workplace function to support the CSR road map and more widely the ESG strategy of the company and AXA Group.
  • Ensure on-going and measurable improvements are made via our services partners including challenging costs and service levels, balancing cost and service whilst supporting environmental and sustainability agenda.
  • Managing contracts and projects up to €1m, such as front of house, security, lockers, planting etc.
  • Working, maintaining, and helping with the development of various external software, from accounting system to CCTV and access control. Supported by the IT/Tactical partner to implement new system within the workplace function and when and where required.
  • Working closely with the rest of the team and particularly with the Community team to support business events
  • Support the Ops Director Workplace on the Quarterly variance report, Reconciliation and Budget pack design.
  • Supporting the Operations Director on the workplace strategy
  • Perform any related duties as assigned upon business request.
  • On-site presence required

You will report to the Workplace Operations Director.

What You Will Bring

You don’t need a specific degree to enter this role but we are looking for someone who has these abilities and skills:

  • Experience of building senior stakeholder relationships being able to challenge and influence up to Executive levels.
  • An understanding of UK Health & Safety laws and statutory regulations relating to buildings management including interactions with Local Authority Representatives
  • First Aider and Fire Marshall trained or willing to be
  • Experience in delivering strategic Facilities and Workplace plans supporting overall business agenda.
  • Proficient in the use of all Microsoft Office packages, including Word, PowerPoint, Excel and Outlook
  • Ability to work on various software and computer skilled
  • Excellent verbal and written communication skills, with the ability to engage, influence and challenge multiple stakeholder groups and audiences.
  • Experience of contract and supplier management
  • Flexibility to work out of hours and when and where required
  • Interpersonal relationship building and networking skills
  • Mandatory IOSH or NEBOSH qualified or willing to study for qualification
  • Procurement and negotiation skills
  • Ability to multi-task and prioritise your workload
  • Project management skills
  • Proven ability to work collaboratively on projects and day to day tasks
