Job overview

We are looking for a Personal Assistant to become a vital part of our dynamic team on a 12 month FTC, providing essential administrative and business support to our Executives and Senior Managers. You’ll play a key part in ensuring the smooth day‑to‑day operation of our leadership team by managing a variety of admin‑based tasks. Your responsibilities will include diary management, coordinating travel arrangements, processing invoices and expenses, and maintaining people systems. This role offers a unique opportunity to work closely with senior professionals and make a meaningful impact on our organisational efficiency.

Key responsibilities

  • Proactively manage Executives’ and Senior Leaders’ diaries, prioritising key activities and supporting efficient time management to maximise strategic impact.
  • Coordinate and organise offsites, away days, and social activities both virtually and face‑to‑face, ensuring seamless event execution.
  • Arrange and manage business travel, including bookings and itineraries, to support smooth and cost‑effective trips.
  • Handle Executives’ and Senior Leaders’ expenses, ensuring accurate processing and adherence to budget guidelines.
  • Process and submit invoices for payment, maintaining precise records and ensuring expenses stay within budget.
  • Manage delegated tasks in Workday, such as raising job requisitions, onboarding new starters, and approving holidays.
  • Cultivate strong relationships with Executives’ and Senior Leaders’ direct reports and key stakeholders to facilitate effective communication and collaboration.
  • Partner effectively with other PA teams and departments across the business to streamline processes and enhance overall support.

Work arrangements

At AXA we work smart, empowering our people to balance their time between home and the office in a way that works best for them, their team and our customers. You'll work at least two days a week (40%) away from home, moving to three days a week (60%) in the future. Away from home means attending the office, visiting clients or attending industry events.

Your skills & experience

  • Experience providing PA support or a strong desire to develop into the role.
  • Good organisational and prioritisation skills.
  • Good verbal & written communication skills.
  • Strong attention to detail.
  • Flexibility, adaptability and able to multi‑task whilst working in a fast-paced environment.
  • Highly professional approach, maintaining discretion and confidentiality.
  • Collaborative working with senior stakeholders and peers.
  • Knowledge of admin software including Microsoft Office, Workday, Coupa and Concur.

As a precondition of employment for this role, you must be eligible and authorised to work in the United Kingdom. This position has been defined as an Insurance Distribution Directive (IDD) role under the IDD regime which means that in addition to pre‑employment screening checks, the successful candidate will be subject to background screening every 4 years with an annual declaration in interim years.
