We are looking for a HR Coordinator to join our AXA Partners HR Department in Redhill, UK.
This role is responsible for delivering and coordinating the core HR administration service in order to support the organisation and their employees through the employee lifecycle.
What you’ll be doing:
HR – Key Responsibilities
- To act as first point of call for all HR advice and guidance to Line Managers and employees
- To resolve, cascade or triage email, portal and any other queries to the relevant functions within the HR department
- Contribute to the redesign and transformation of the HR Service
HR – Administration Processes
- Conduct the full new starter process to ensure an exemplary candidate journey. Processes include, but not limited to:
- Contractual paperwork
- Pre-employment checks
- Payroll
- HR systems – including HR Portal, Payroll, and other entity systems
- Coordinate and administer employee Change to employee Terms and Conditions, in a timely and accurate manner
- Conduct the off-boarding process for employees departing the business
- Liaising with the HR Service team in Mexico to ensure our HRIS system is updated in an accurate and timely way
- Coordinate and administrate equipment orders for employees under the DSE process
- Produce, monitor and analyse key HR data reports, Management Information and CompanyDashboards, ensuring they meet the needs of our key stakeholders (inclusive of Starters, Leavers, Visa’s, Fixed Term Contracts).
- Running reports of employee information from our systems to the business & HR
- Support the local payroll teams with the administration of payroll with any changes to the relevant month.
- Support embedding of Global HR Systems and processes
- Follow cost control processes to actively manage invoices and purchases orders to ensure costs are correctly authorized and processed
- Process, review and maintain the company benefits for all employees on the relevant systems, ensuring these are invoiced and paid for appropriately
- Supporting the company’s approach to absence management by escalating any AWOL cases, and producing monthly absence reports
- Support with other HR administration, which may come through to the team.
- Ensuring the employee experience is exemplary from their time as a new starter, to them leaving the company. Collecting feedback and exit interview data to be analyzed in order to improve our processes further
- Supporting on HR Services related projects to implement process improvements or new systems
HR – Legal & Compliance Responsibilities
- To ensure that all HR files are kept within GDPR guidelines
- To ensure that right to work checks are completed for all employees in line with the requirements outlined in the Immigration, Asylum and Nationality Act 2006
- That all Data Subject Access Requests are completed within legally compliant timescales and in line with the AXA Partners DSAR Process
- Ensure compliance to Regulatory requirements and Internal Controls Framework by submitting the required internal controls on time
Employee Relations
- Act as note taker and provide HR support in formal meetings such as absence meetings, disciplinaries, grievances and appeal meetings.
- Advising managers and employees on company policies either verbally or in writing via portal tickets, emails or Teams messages.
- Assisting the ER team to administer flexible working requests and any other attendance management issues.
Other – wider HR Operations responsibilities
- Supporting the Internal Communications Team when required on internal communication activities and events across the business
- Play an active role in promoting and acting as an ambassador for Internal Communication activities
- Work closely with the wider HR Team on other key activities and projects
What you’ll bring:
- Some experience of working in a fast paced environment, with high volumes of queries
- Strong ability to communicate effectively, efficiently and professionally with colleagues and management at all levels
- Clear verbal and written communication skills
- Basic to intermediate use of all Microsoft Office applications
- Great customer service
- Ability to prioritise and organise workload to meet challenging deadlines
- Adaptable, flexible and resilient, with the ability to deal with dynamic environment
- High level of accuracy and attention to detail
- Strong team player

- Basic knowledge and understanding of employment law principles and GDPR regulation would be advantageous
