This role is known internally as an Additional Support Administrator.
SALARY: £25,186 per annum FTE (Grade C) / Actual Annual Salary £17,550 per annum (based on 30.75 hours) + Benefits
LOCATION: Hedge End, Southampton, Hampshire (SO30)
JOB TYPE: Part-Time, Permanent (term time only)
WORKING HOURS: 30.75 hours per week, 8:15 am to 4:00 pm two days per week and 8:15 am to 3:00 pm three days per week, term time only (38 weeks)
Job Overview: We have a fantastic new job opportunity for an Administrator / SEN Administrator to join a growing and supportive education environment committed to inclusion, excellence and student success. As an Administrator / SEN Administrator you will provide comprehensive administrative support to the SEND team, maintaining accurate records, coordinating meetings and supporting communication with parents, staff and external professionals. The Administrator / SEN Administrator will play an important role in ensuring students receive effective support through efficient administration, diary management, record keeping and SEND processes. Working closely with colleagues, you will help maintain high standards of organisation while contributing to a positive and inclusive learning environment.
Duties:
- Maintaining SEND Records: Manage and update electronic and paper-based student records in line with GDPR requirements
- Coordinating Meetings: Organise Annual Reviews, EHCP meetings, parental consultations and prepare supporting documentation
- Providing Administrative Support: Deliver comprehensive administrative assistance to the SENCo and Additional Support Department
- Managing Correspondence: Handle emails, telephone enquiries and departmental communications efficiently
- Maintaining Department Diaries: Coordinate schedules, appointments and key departmental activities
- Supporting Intervention Tracking: Maintain accurate records of interventions and student support programmes
- Liaising with Stakeholders: Build positive relationships with parents, staff, specialist advisors and external agencies
- Preparing Documentation: Produce reports, letters and communications for parents and other stakeholders
- Supporting Student Assessments: Assist with screening processes for dyslexia and speech and language difficulties
- Managing Information Sharing: Support record keeping, transition arrangements and information sharing with colleges
Candidate Requirements:
- Previous experience in an administrative or office support role, ideally within education or SEND
- Knowledge of SEND processes, including EHCPs and the SEND Code of Practice
- Strong IT skills including MS Office, database management, and record keeping
- Excellent organisation skills with the ability to prioritise workload and meet deadlines
- Strong communication skills, both written and verbal
- High attention to detail and accuracy in data entry and documentation
- Ability to work collaboratively within a team and independently when required
- A flexible and proactive approach to work
- GCSE Grade C or above (or equivalent) in English and Maths
