JOB TYPE: Part-Time, Permanent

WORKING HOURS: Monday to Friday 8:30am – 12:30pm (20 hours per week, 38 weeks per year)

Job Overview: We have a fantastic new job opportunity for an Administrative Assistant to join a welcoming school office team within a thriving primary education setting. As an Administrative Assistant you will support the efficient delivery of administration, reception and pupil welfare activities while providing a professional service to parents, staff, visitors and external stakeholders.

The Administrative Assistant will assist with correspondence, data entry, record keeping, scheduling, filing systems and daily operational processes that help ensure the smooth running of the school. This is an excellent opportunity for someone who is organised, approachable and able to work effectively within a busy office environment whilst maintaining confidentiality and high standards of customer service.

Duties:

  • Reception Support: Welcome visitors and act as a first point of contact for pupils, parents, staff and external stakeholders
  • Administrative Assistance: Provide general office support including photocopying, scanning, correspondence and document preparation
  • Data Management: Collect, process and input information accurately whilst maintaining data security and confidentiality
  • Visitor Administration: Maintain visitor records and ensure sign-in and sign-out procedures are followed
  • Diary Coordination: Assist with scheduling appointments, meetings and administrative activities
  • First Aid Support: Administer first aid, medication and inhalers following training and established procedures
  • Financial Processing: Support the accurate recording of income and handling of payments relating to school activities
  • Lunch Administration: Manage daily school lunch information and associated administrative processes
  • Filing and Records: Maintain electronic and manual filing systems in line with compliance requirements
  • Health and Safety Support: Assist with fire marshal duties and contribute to a safe school environment

Candidate Requirements:

  • Previous experience carrying out administration, office support or clerical duties
  • Ability to communicate effectively in person, by telephone, email and written correspondence
  • Good working knowledge of Microsoft Office applications including Word, Outlook and Excel
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines
  • Ability to handle sensitive information discreetly and maintain confidentiality at all times
  • Ability to use initiative and resolve work-related issues effectively
  • Positive and flexible approach with a willingness to support colleagues when required
  • Understanding of the importance of safeguarding and following school procedures

Desirable:

  • Previous experience working within a school or education environment
  • Experience using Arbor or similar school management systems
  • Existing first aid qualification or experience supporting welfare requirements
  • Experience processing payments and maintaining accurate financial records
