We have a fantastic new job opportunity for an Administrator / Shared Service Assistant to join a central HR team supporting schools across a multi-site education environment. As the Administrator / Shared Service Assistant you will deliver efficient, high quality and professional administration across recruitment, onboarding, compliance, employee records and customer queries. The role requires excellent organisation skills, attention to detail and the ability to manage multiple priorities, data sources and stakeholders across different locations. Working as the Administrator / Shared Service Assistant you will support HR processes, maintain accurate records, handle confidential information and contribute to continuous improvement across shared service workstreams.
DUTIES
- HR Administration: Manage and resolve queries from school leaders and colleagues in a timely and professional manner
- Stakeholder Support: Build productive working relationships with key contacts across the organisation
- Recruitment and Onboarding: Coordinate administrative processes that support recruitment, onboarding and employment lifecycle activity
- Compliance Records: Maintain accurate safeguarding, employment and data protection information across HR systems
- Document Production: Prepare employment documents, update online records and support data entry requirements
- Process Improvement: Contribute to streamlined workflows, templates, process maps and administrative best practice
- Reporting Support: Help generate and format reports, presentations and data summaries
- Confidentiality: Handle sensitive information with discretion and maintain high standards of data security
- Safeguarding Data: Support visitor management safeguarding data and help build knowledge in this area across schools
CANDIDATE REQUIREMENTS
ESSENTIAL
- Qualifications: GCSE grade 4 to 9, or C and above, in English and Maths
- Driving: full driving licence and access to own transport
- Organisation Skills: able to prioritise, work under pressure, meet deadlines and maintain attention to detail
- Administration: able to work at pace and manage high volume administration accurately
- Communication: able to communicate clearly and professionally, both verbally and in writing, with a range of audiences
- ICT Skills: able to use ICT systems to deliver an efficient and effective administrative service
- Confidentiality: able to maintain the highest levels of confidentiality and data security
- Safeguarding: able to follow safeguarding procedures and recognise when concerns should be reported
- Flexibility: able to adapt to changing requirements and priorities day to day
DESIRABLE
- Further Education: Educated to A Level or equivalent in HR or Business Administration
- Data Reporting: Able to collate and interrogate data and produce accurate reports
- Shared Services: Experience of working in a shared service environment supporting multiple customers across multiple locations
- Safeguarding Knowledge: Understanding of Keeping Children Safe in Education requirements
