JOB OVERVIEW
We have a fantastic new job opportunity for a Customer Service Administrator / Office Assistant who enjoys varied administration, customer contact and supporting busy operational teams.
As the Customer Service Administrator / Office Assistant, you will handle telephone and email enquiries, process orders, follow up customer requests and help maintain accurate information across internal systems.
Working closely with customer service, logistics and purchasing colleagues, the Customer Service Administrator / Office Assistant will help keep day-to-day office activity organised, professional and responsive.
DUTIES
Your duties as the Customer Service Administrator / Office Assistant include:
- Customer Service Support: Provide a friendly, responsive and professional service to customers, presenting a positive impression of the business
- Customer Enquiries: Respond to customer enquiries and provide information about the company's full range of products and services
- Telephone Handling: Answer incoming calls in a professional and timely manner, transferring calls to the relevant department where appropriate
- Order Administration: Process orders, follow up customer orders and send relevant information in response to customer enquiries
- Email Correspondence: Communicate with customers by email and telephone, supporting timely and accurate responses
- System Administration: Use internal systems, Outlook, Excel and EFACS to support order tracking and general administration
- Department Support: Assist customer service, logistics and purchasing departments with administration to maintain customer systems
- Office Organisation: Help maintain an efficient, organised workspace and support smooth day-to-day office operations
- Project Support: Provide flexible support for ad-hoc projects and changing business needs when required
- Teamwork: Work collaboratively with colleagues and support the wider team during busy periods
CANDIDATE REQUIREMENTS
ESSENTIAL
- Good literacy, numeracy and verbal communication skills
- IT literate, with experience using Microsoft Office including Excel, Word and Outlook
- Able to deliver high levels of customer service with minimal supervision
- Confident communicator who listens well and can express information clearly
- Able to work as part of customer service, logistics and purchasing teams
- Organised, reliable and able to manage multiple priorities during busy periods
- Positive, flexible and willing to learn new skills
- Able to multitask and solve problems effectively
- Good teamwork and co-operation skills
DESIRABLE
- Previous customer service support experience
- Experience building customer relationships and handling queries
- Experience using a Customer Relationship Management system such as EFACS
- Knowledge of the print industry
- Interest and knowledge in customer care
- Suitable qualification in Customer Service
