JOB OVERVIEW We have a fantastic new job opportunity for an Operations Administrator / Procurement Administration Coordinatorwho has experience providing operational administrative and secretarial support for a management team, preferably within a manufacturing or industrial environment Working in this multifaceted role as an Operations Administrator / Procurement Administration Coordinator you will be integral to the smooth running of the companys operations, providing comprehensive administrative support to Site and Operational Managers. As the Operations Administrator / Procurement Administration Coordinator you will also manage all raw material purchase orders and the associated administration, ensuring meticulous record-keeping and clear communication with all site stakeholders. ? DUTIES Your duties as an Operations Administrator / Procurement Administration Coordinator will include: Administrative Support (Operational) Provide comprehensive secretarial support to Site and Operational Managers, including diary and meeting management, and document preparation Support the maintenance and distribution of site-wide policies, procedures, and communications Manage ad hoc purchases and one-off bookings as required Administrative Support (Procurement) Raise purchase orders and administer the full procurement cycle, including updating pricing and maintaining supplier lists Coordinate the booking of incoming deliveries, ensuring smooth logistics with customs, transport, and warehouse teams Administer the supplier complaints procedure and maintain approved material lists Compliance & Document Control Manage the Site Management System\’s document control, ensuring accurate records for audits and compliance (e.g., ISO 9001, 14001, 18001) Coordinate and administer safety reporting systems, including near-miss reports and hazard control tours Regulatory Reporting & Communication Maintain accurate records and compile reports for regulatory bodies such as the EA, HSE, and the local council Act as the designated crisis communications contact, updating internal and external channels during emergencies Engineering, Operational, Sales & Marketing Support Provide administrative support to the Engineering function, managing maintenance records and systems Arrange meetings, book venues, and manage travel logistics (flights, hotels) for various teams Training & Compliance Support Schedule and maintain training records for operational staff, including FLT training and other site-specific programmes Coordinate site-based NVQ and competency frameworks, acting as the main point of contact for external verifiers ? CANDIDATE REQUIREMENTS Additional secretarial or administrative training is advantageous Previous experience in a similar role preferably in a manufacturing or industrial environment Experience working with regulatory reporting and compliance systems is preferred Green/Black Belt or other lean manufacturing certification a plus Technical & Regulatory Knowledge Proficient in Microsoft Office Suite and other office management software Familiarity with ISO, COMAH, and other regulatory frameworks Communication & Organizational Skills Excellent written and verbal communication skills Strong organisational skills with the ability to manage multiple tasks under pressure ?
