We are seeking a highly organised Contract Administrator to support the delivery of healthcare facilities and infrastructure projects within a PFI environment. This role is responsible for coordinating, preparing, and tracking formal contractual correspondence, ensuring all contractual obligations, notices, and records are managed accurately and in line with contract requirements.

The successful candidate will work closely with Project Managers, programme teams, and commercial stakeholders to support project delivery, manage contractual notices, maintain registers and action logs, and ensure strong governance across live projects.

Key Responsibilities

  • Act as the central point of contact for contractual notices across multiple projects.
  • Prepare, issue, and track formal contractual notices including:
    • Early Warning Notices (EWNs)
    • Delay Notices
    • Time Delay Event Notices
    • Refusal of Access Notices
    • Requests for Information (RFIs)
    • Formal contractual correspondence and responses
  • Maintain accurate notice registers, action trackers, and audit-ready records.
  • Monitor deadlines, chase responses, and ensure timely follow-up actions are completed.
  • Support Project Managers with contractual administration and evidence gathering.
  • Work closely with commercial teams to ensure notices are contractually compliant and commercially sound.
  • Attend project, commercial, and governance meetings, recording and coordinating actions.
  • Produce regular reports on notice status, risks, KPIs, and outstanding actions.
  • Ensure all documentation follows agreed document control and governance procedures.
  • Maintain a strong understanding of contract requirements and identify any areas of non-compliance.

Essential Skills & Experience

  • Previous experience in contract administration, commercial support, or project support within PFI, facilities management, construction, or infrastructure environments.
  • Knowledge of formal contract notice procedures and contract administration processes.
  • Strong written communication skills with experience drafting formal correspondence.
  • Experience managing registers, trackers, and document control systems.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.
  • Proficient in Microsoft Office, particularly Word, Excel, and Outlook.
  • Ability to work collaboratively with operational, commercial, and project delivery teams.

Desirable

  • Experience working within healthcare or live operational environments.
  • Familiarity with PFI contracts, compensation events, and project agreement structures.
  • Knowledge of NEC or JCT contracts.
  • Understanding of CDM regulations and project governance processes.
  • Professional qualification or working towards one in contract, commercial, or project management.
