AW Surgeries is looking to appoint a friendly and well-organised person to join our Admin team. This important role is key to the daily running of the practice by providing an efficient and friendly service to patients contacting the practice for their appointments or when accessing medical requirements like repeat prescriptions, blood labels or fit notes. Offering support and direction to patients in a courteous and friendly manner and making sure that communication between patients and members of the Primary Health care team is efficient and effective.

The successful candidate will be confident in working with members of the public, have excellent communication skills, be confident using IT systems, able to multitask in a fast-paced environment and be committed to delivering high-quality patient care. Confidentiality, professionalism, and excellent customer service are essential. Previous administrative or receptionist experience, particularly within a healthcare setting, is desirable.

Main duties of the job

You will be expected to undertake a variety of reception and admin duties to assist in the smooth running and operation of the practice, including:

  • Providing clerical support to clinical staff and other members of the practice team, whilst projecting a positive and friendly image to patients and other visitors either face to face or via the telephones.
  • Ensuring an efficient and effective service is provided to patients and any other visitors to the practice.
  • Handling enquiries from patients both in person and over the phone, ensuring messages are passed on accurately and promptly.
  • Dealing with general enquiries, explaining procedures and supporting patients when needed.
  • Providing clerical assistance to the practice as and when required, including photocopying and scanning.
  • Processing patients' requests for appointments, repeat prescriptions, fit note requests and blood test labels.
  • Providing cover and support to colleagues when required to maintain service levels.
  • Working in accordance with practice protocols, safeguarding principles and confidentiality policies.
About us

AW Surgeries have two surgeries based in Brierley Hill at Albion Street and Withymoor, Squires Court. We have a practice size of 17,000 patients. Our team consists of 5 GP partners, 2 salaried GPs, 2 ANPs, 4 Nurses, 1 HCA and 25 highly qualified and experienced Admin staff. As part of our Primary care network, we also have Listening and Guidance, Podiatrist, Midwife and pharmacists working alongside us. We are a Teaching General Practice working with the University of Birmingham to train medical students from all clinical disciplines. We work closely with our 6 neighbouring practices as part of the Brierley Hill and Amblecote Primary Care Network.

Job responsibilities

The purpose of the role is to:

  • Offer general assistance to the practice team and project a positive and friendly image to patients and visitors, either in person or via the telephone.
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of clerical support to clinical staff and other members of the practice team.
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
Person Specification

Qualifications:

  • 5 GCSE grade A-C or 5-9 including English.
  • Ability to demonstrate accurate written and verbal communication.
  • Previous experience in an administrative or customer-facing role.
  • Experience using IT systems confidently, including email, Microsoft Office and data entry.
  • Experienced in handling enquiries both by telephone and face to face.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Experience of working in a GP surgery, NHS or healthcare setting.
  • Experience using EMIS, Docman, footfall.
  • Experience processing prescriptions and medical correspondence.
