Role Overview: We are seeking a reliable and organised Document Controller to support our Bournemouth hospital project on a temporary, immediately available basis. The successful candidate will be responsible for the management, control and distribution of project documentation (both electronic and hard copy), ensuring that the correct and latest versions of all drawings, specifications, contracts, reports and correspondence are available to the project team when required.
Key Responsibilities:
- Receive, register, sort, file and store project documents (electronic and hard copy) in accordance with company and project procedures.
- Maintain document control registers, version control logs, and document status trackers.
- Distribute documents to relevant internal and external stakeholders (project team, contractors, consultants, clients) ensuring timely access to current information.
- Scan, digitise and archive hard-copy documents; manage electronic document management system (EDMS) or shared drive use as required.
- Support document audit and review processes; assist with project close-out document submissions and archiving.
- Ensure confidentiality, accuracy and compliance with company and regulatory standards for all documentation.
Requirements / Ideal Candidate:
- Previous experience in a Document Controller or similar role, ideally on construction, M&E, or infrastructure projects.
- Proficient with MS Office (Word, Excel, Outlook) and comfortable working with electronic document management systems (EDMS) or shared digital file systems.
- Excellent organisational skills, high attention to detail, ability to prioritise and manage multiple documents under tight deadlines.
- Good communication skills, both written and verbal — to liaise with project teams, subcontractors, and clients.
- Ability to work independently and collaboratively; flexible and responsive to project needs and change.
- A reasonable level of education (e.g. GCSEs including English and Maths, or equivalent) — additional qualifications or training in administration/document control or construction are a plus.
