A bit about the job: You’ll join our Technology Operations team, who look after the full lifecycle of IT hardware across Aviva. Your work ensures colleagues receive devices on time, that returned equipment is refreshed and ready for reuse, and that our records stay accurate and secure. This role exists to keep our tech estate running smoothly and to support good outcomes for our colleagues and customers.

Key Responsibilities

  • Hardware Distribution & Logistics
    • Coordinate the distribution of IT hardware to colleagues’ homes and/or offices via approved third‑party couriers.
    • Ensure devices are packaged, logged, and dispatched accurately and securely.
    • Track deliveries and resolve any issues or delays using established processes.
  • Hardware Repurposing & Preparation
    • Process, check, and assess returned IT equipment.
    • Refurbish, reimage, and prepare returned stock for redeployment.
    • Verify all devices meet internal security, performance, and quality standards before reissue.
  • Stock Control & Asset Management
    • Maintain accurate records of all hardware assets throughout their lifecycle.
    • Monitor stock levels, conduct regular inventory checks, and escalate shortages or discrepancies.
    • Update asset management systems to ensure full visibility of device status and location.
    • Support lifecycle planning, ensuring hardware is rotated, replaced, and repurposed effectively.
  • Operational Support & Process Improvement
    • Assist with the implementation of technology operations frameworks, processes, and standards.
    • Respond to routine queries using established procedures, escalating complex issues where necessary.
    • Analyse operational data (e.g., stock levels, courier performance, asset utilisation) to identify areas for improvement.
    • Assist in the development, documentation, and maintenance of operational processes and working practices.
  • Technical Troubleshooting & RCA
    • Conduct basic root cause analysis on returned or faulty hardware.
    • Troubleshoot device issues before escalation to relevant technical teams.
    • Monitor technology performance trends to identify recurring problems or risks.
  • Collaboration & Reporting
    • Work closely with cross‑functional teams (Service Desk, Tech Support, Logistics, Governance) to resolve hardware‑related issues.
    • Prepare reports and updates on hardware operations, stock position, and service performance.
    • Contribute to project activities related to IT asset management, hardware refresh cycles, and operational enhancements.
  • Compliance, Standards & Customer Outcomes
    • Ensure all work aligns with internal policies, security requirements, and regulatory obligations.
    • Prioritise good customer outcomes, ensuring colleagues receive timely and reliable support.
    • Help the organisation act in good faith toward customers, avoid foreseeable harm, and enable them to pursue their financial objectives.
  • Continuous Learning
    • Stay current with developments in hardware technology and operational best practice.
    • Undertake relevant training and participate in department initiatives and improvement projects.

Skills & Experience

  • Essential:
    • Strong organisational skills with excellent attention to detail.
    • Ability to follow operational processes and maintain accurate records.
    • Comfortable working with couriers, logistics systems, and asset tracking tools.
    • Basic technical understanding of common workplace hardware (laptops, peripherals, mobile devices).
  • Desirable:
    • Experience in troubleshooting hardware issues.
    • Knowledge of ITIL or technology service management frameworks.
    • Previous exposure to large‑scale hardware lifecycle or deployment projects.
