9-month Fixed-term Contract

Location: York, Norwich, Bristol, Glasgow or Perth (50% hybrid working)

Salary: £35,000 - £45,000 depending on experience

We are looking for an experienced Executive Assistant to support the Group External Reporting Director and the Director of Finance and Investment Operations including providing broader support to their high-performing teams. The Group External Reporting team are responsible for producing high-quality and timely external, regulatory and statutory reporting of Aviva Group’s financial and non-financial reporting and supporting the Group Board Committees, and for the Aviva Group Centre controllership. The Finance and Investment Operations team are a shared services function supporting growth across Aviva’s businesses, responsible for delivery of high-quality finance and investment operational performance for Aviva’s businesses and linked transformation agenda.

The role will be part of our One Finance EA community, and the successful candidate will be expected to support the rest of the EAs, including providing holiday cover for other EAs as required.

A bit about the job

In this exciting role you will support the Group External Reporting Director and the Director of Finance and Investment Operations including providing broader support to their teams. Working in a close-knit team you will handle schedules, co-ordinate and where required attend certain meetings, support team communications and wellbeing, and be a key point of contact on behalf of the Directors, all while maintaining a high degree of professionalism, confidentiality, and efficiency. This role will ensure that the Directors have the right personal support in prioritising their departments and fulfilling their obligations in respect of reporting, performance and operations to Executive teams, Boards and Committees.

The ideal candidate must be flexible, organised, able to prioritise work and be confident working under pressure and must be comfortable building a rapport quickly, to ensure good working relationships. You will be career-minded with the ability to multi-task and certainly an excellent teammate, working closely with other EAs and operational leads in your business area.

Skills and experience we’re looking for:

  • Have experience as an executive assistant to senior leaders including great stakeholder management skills
  • The ability to maintain discretion and handle confidential and secret information.
  • Excellent organisation and time management and experienced in running your workload effectively with priorities from multiple partners
  • Confident in providing organisational and administrative services for senior leadership team, boards, and committees
  • Be prepared to undertake other business activities required to support your director(s) and their teams, e.g. agenda planning, meeting minutes and actions, and actions tracking, leading on the organisation of leaders’ events
