Responsibilities

  • Maintain the compliance monitoring system and ensure all asset certifications are accurate and up to date.
  • Monitor CAFM system access for clients and facilities managers, ensuring timely and correct data entry of certification and compliance documentation.
  • Identify and assign priority to defects or remedial tasks arising from inspections, tests and assessments, and record them in the compliance management system.
  • Support Customer Service Centre Advisors with call handling when required.
  • Monitor the organisation’s compliance with regulations and internal policies to keep them aligned with relevant legislation.
  • Input certification and documentation into local drives, CAFM and upload to the relevant tasks with high attention to detail and data accuracy.
  • Upload and validate documentation to the correct PPM.
  • Liaise with suppliers, chase replacements for unsuitable documentation and request supporting documentation for identified remedial actions.
  • Create remedial actions as tasks linked to the main compliance PPM, assigning priority and due dates for suppliers and FM staff to follow up.
  • Clear items from the compliance mailbox into correct folders timely to meet client SLAs.
  • Perform regular audits and systematic reviews of previous documentation, correcting details where required.
  • Carry out gap analysis on system data to improve client compliance and reporting accuracy.
  • Rotate duties based on the weekly rota set out by the Compliance Manager.
  • Liaise with Regional Property Managers to resolve queries and meet client requests regarding PPMs.
  • Liaise with Supply Chain to ensure adherence to SLAs and general compliance standards as outlined by the client.

Qualifications

  • Ability to load data accurately and efficiently, interpret received information, and classify it according to predefined guidelines.
  • High degree of accuracy and attention to detail.
  • Strong analytical skills with the ability to present findings in graphical, tabular and report formats.
  • Organised and able to meet tight deadlines.
  • Effective prioritisation of work.
  • Excellent communication skills at all levels, both within and outside the organisation.
  • Familiar with Microsoft Office (Word, Excel, PowerPoint), CAFM and reporting software.
  • Computer literate.
  • Working knowledge of FM compliance and HSE legislation is desirable.
