Responsibilities

The Compliance Team Leader’s role includes but is not exclusive to the following duties:

Team Leader Responsibilities

  • Lead. motivate and develop team of Compliance Administrator, ensuring that all operational procedures are adhered to.
  • Allocate workloads and monitor team performance against agreed objectives.
  • Conduct regular 121 meetings and performance reviews.
  • Conduct team meetings to update team members and drive performance and best practice.
  • Provide coaching, training and support to improve capability and consistency.
  • Foster a collaborative, customer focused and continuous improvement culture.
  • To handle any team escalations and client complaints in a friendly, professional and confident manner.
  • To encourage inclusive working partnerships with all CSC employees.
  • Compliance document management
  • Responsible for the operational and reporting capacity for all property compliance to ensure consistent standards maintained, risks identified and escalated to management appropriately.
  • Monitoring the organisation’s compliance with regulations and internal policies to ensure they are up to date and compliant with the relevant H&S regulations and relevant codes of practice.
  • Ensure thorough examination of compliance certification and documents for validity and identify remedial actions to be taken.
  • Review existing uploaded documents on the system to ensure correctness of information and confirmed closure of remedial actions.
  • Responsible for performance against agreed Client KPIs to minimise risk and lessen exposure to financial penalties.
  • Consult on compliance changes with stakeholders and ensure all changes documented within process documents and client compliance bible.
  • Cascade information to the team and collaborate to ensure that they are aware of immediate priorities and areas of focus.
  • Ensure the team are effectively delivering to SLAs and providing consistent coverage for the client.
  • Coordinate the service at VPS, including any ad-hoc access requests.
  • Liaise with the service desk as appropriate to work collaboratively to ensure tasks completed asap and in line with client and customer expectations.
  • Identify and communicate supplier/RPM training requirements as required.
  • Build effective relationships with operational managers, subcontractors and client.
  • Report to Client Service Desk Manager and Account manager monthly compliance scores and any areas of concern.
  • Conduct internal audits of documentation and maintain issue logs to track trends and any performance issues. Undertake monthly review with Client
  • Investigate any escalations and complaints and ensure timely response and address underlying issues accordingly.
  • System maintenance
  • Clearing items from the compliance Mailbox into the correct folders in a timely manner to meet client Service Level Agreement.
  • Perform regular audits and systematic reviews of any previous documentation, correcting document details where required as per agreed KPI’s.
  • Support operational colleagues/client/3 rd Party contractors with understanding process and performance procedures.
  • System analysis and report creation
  • Produce regular compliance reports for senior management and client.
  • To actively support development of systems and processes that will provide effective and efficient compliance methodology across account.
  • To produce effective performance and compliance MI that identifies areas of focus, risk and opportunities for improvement.
  • Creating compliance status reports for input into amongst other things monthly client reports as required.
  • Maintaining best practice notes and compliance Power Point slides, for training purposes.

Qualifications

Skills

  • Excellent organisational and time management skills.
  • Strong analytical and reporting capability.
  • High degree of accuracy and meticulous attention to detail.
  • Ability to prioritise workload in a fast-paced environment.
  • Experience managing and developing administrative teams.
  • Effective communication skills at all levels both within and outside of the organisation.
  • Good analytical skills and familiar with the use of Microsoft Packages, CAFM and Reporting software.
  • Knowledge And Qualifications
  • Previous experience in Compliance leadership role within Facilities Management/ Property Management environment.
  • Strong understanding of statutory compliance requirements.
  • A working knowledge of FM compliance and HSE legislation is desirable but not essential.

IOSH qualification desirable.
