Purpose of the Role
As an Ethical Compliance Coordinator you will support the HR team by ensuring compliance with legal and ethical standards, assisting with recruitment, training and audit preparation. The role also contributes to continuous process improvements and supports general HR operations.
Key Responsibilities
- Support Ethical Compliance & Standards
- Assist in ensuring that HR practices follow ethical recruitment standards and comply with legal requirements, including diversity, equality and non‑discrimination.
- Assist in setting internal compliance standards and processes to ensure ongoing adherence to ethical recruitment practices across all HR functions.
- Stay informed on the latest compliance and regulatory changes and ensure our records with key partners such as Stronger Together, Responsible Recruitment and SEDEX are up to date and changes are communicated across the HR team.
- Recruitment & Partner Compliance
- Support in ensuring that recruitment agency partners, suppliers (such as catering providers) and contractors meet company compliance and ethical standards.
- Assist with refining and managing recruitment processes that align with company policies and regulatory requirements, ensuring consistency with Responsible Recruitment standards and a focus on modern slavery prevention.
- Contribute to the onboarding process, ensuring all new starters meet legal and company compliance standards.
- Monitor visa management and right‑to‑work status for new hires and employees to ensure ongoing compliance for those with work visas.
- Training & Process Documentation
- Assist in maintaining and updating training resources to ensure compliance with both legal requirements and internal standards.
- Ensure the delivery of human rights and ethics training at the relevant levels so that HR and relevant employees are informed and comply with the company’s ethical and legal standards. As well as general awareness and understanding for all employees is met.
- Support in the ongoing review and improvement of HR processes such as job descriptions and recruitment procedures to maintain consistency and compliance.
- Audit Support, Internal Auditing & Data Management
- Assist with the preparation of audits by ensuring HR files and records are accurate, up‑to‑date and easily accessible.
- Help maintain HR data systems, ensuring compliance with data protection and privacy regulations.
- Support in setting internal auditing standards and resource provider audits to ensure continuous improvement in compliance and operational processes.
- Support the HR Management Team to ensure that the company remains compliant with SEDEX requirements.
- Monthly Compliance Checks & Data Integrity
- Support ongoing monthly compliance checks across HR operations, ensuring that all necessary welfare conversations are held with employees to monitor well‑being and compliance.
- Assist in maintaining data integrity within HR systems, ensuring accuracy and completeness of records.
- Contribute to identifying hot topics and key learnings from HR operations, bringing insights to the team and ensuring best practices are followed.
- Continuous Improvement Support
- Contribute to the improvement of internal HR processes, including recruitment workflows, HR documentation and employee record‑keeping systems.
- Help collect and analyse data for process reviews, supporting the implementation of more efficient procedures within HR.
- General Administrative Support
- Provide general administrative assistance to the HR team as needed, ensuring smooth day‑to‑day operations.
- Assist with internal communications within HR, such as drafting updates related to compliance.
- Support in maintaining clear and accurate records of HR policies and procedures.
What We Are Looking For
- A keen interest in HR, compliance and operations, with a desire to develop a career in HR.
- Strong attention to detail, excellent organisational skills and the ability to manage multiple tasks simultaneously.
- A proactive approach to learning and adapting to new HR practices and compliance regulations.
- Good communication skills, both written and verbal, with the ability to work collaboratively across teams.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and knowledge of HR software is beneficial, but not essential.
