Maximise opportunities to sell conferences, functions, events and groups within both the corporate and social segments. Actively work to convert incoming leads and develop demand-generating initiatives with the Sales & Marketing organisation. Serve as the single point of contact between the client and the hotel from initial enquiry, contracting, through to event coordination and billing. Communicate client requirements to all relevant departments in a timely and effective manner. Lead and manage large-scale events. Ensure company policies and legislation are adhered to, specifically in the management of events.
Responsibilities:
- Coordinates and communicates event & group details verbally and in writing to the customer and hotel operations. Follows up with the customer post-event.
- Manages group room blocks and meeting space for assigned groups and/or events.
- Works collaboratively with off-property sales channels (e.g., Event Booking Centre, Market Sales, Strategic Accounts) to ensure sales efforts are coordinated, complementary and not duplicative.
- Proactively identifies operational challenges associated with the group & events and works with hotel staff and customer to resolve these challenges and/or develop alternative solutions.
- Ensures that the correct contracts and administration are completed and filed in an orderly fashion to give quick access to client information.
- Uses Opera catering & PMS system to manage sales & account relationships, as well as appropriate catering/group/banqueting bookings. Ensures information is correct, up to date and databases are current.
- Ensures forecasted revenue is up to date.
- Ensures that all diary entries are up to date with booking status, booking date, client details, telephone contact details and activities up to date.
- Maintains an efficient and organised filing policy on all enquiries, options and confirmed bookings.
- Follows all hotel and company policies and procedures.
- Understands the overall market – competitors’ strengths and weaknesses, economic trends, supply and demand, etc., and knows how to sell against them.
- Builds the unit’s top line revenue by focusing on post-contractual sales of products and services. Maximises revenue by upselling contracted products to group & event planners and attendees. Identifies additional revenue opportunities for the hotel based on the event/group profile.
- Uses negotiating skills and creative selling abilities to close on business and negotiate contracts.
Required Skills:
- Exceptional interpersonal and communication skills with the ability to interact effectively at all levels.
- Previous experience in Event Management.
- Experience in hospitality.
