We are looking for an experienced Receptionist / Sales Administrator to join our busy Reception & Sales Department at our Group Headquarters in Belton, Grantham. In this dual role, you will work closely with the Sales and Accounts department, delivering efficient and professional reception support from Monday to Wednesday morning until 12:30pm. From Wednesday afternoon through to close of business on Friday, you will transition into the Sales Office, taking on a range of administrative responsibilities. As part of a job-share arrangement, you will collaborate closely with the other Receptionist to ensure smooth handovers and continuity.
As the first point of contact for visitors and callers at the start of the week, a professional, friendly, and confident manner is essential. Strong MS Office skills, excellent time management, and the ability to perform well under pressure and meet deadlines are also key requirements. Full training will be provided across all areas of the role. You may also be asked to provide cover for the other Receptionist during annual leave, which could involve working full-time on Reception. In addition, you may be required to cover the Sales Administration function for a full week during periods of absence for senior team members.
Key Roles and Responsibilities:
- Manning the company phone switchboard.
- Checking in visitors and contractors and ensuring they have the correct PPE while on site.
- Distributing and keeping record of all site passes given to contractors etc.
- Administrative tasks such as mail and shipping basic packages.
- Date stamping & distributing out post to relevant departments/people.
- Logging and weighing scrap trucks on the weighbridge.
- General administration duties to assist where required.
- Receiving and Inputting Customer Orders to our EFACS system.
- Inputting WIP/finished stock onto EFACS.
- Liaising with Customers regarding order queries/updates & promise dates.
- Liaising with other departments within the business, to gain updates on certain orders.
- Booking customer collections when product is available.
- Assembling / Despatching / Invoicing of product(s) when collections are booked & made.
- Raising ASNs on customer specific systems (training to be given).
Person Specification:
- Confident in using Microsoft Office Applications.
- Previous Reception/Customer Service experience.
- Excellent Communication skills, both oral and written.
- Excellent team working but also the ability to use own initiative.
- Open to embracing new ways of working and comfortable with change.
- Ability to manage own workload to meet specific deadlines.
- Positive attitude towards all work, colleagues and customers.
