Salary: £30,770 per annum. Contract Type: Full Time. Hours: 40 hours per week. Job Location: Northern Ireland (Belfast). Closing Date: 13 April 2026.
Responsibilities
- Provide high quality People Operations Coordinator (ER) support to the HR Manager, HR Adviser and HR department as required.
- Answer first level queries on behalf of the HR People team and process correspondence for internal and external colleagues and stakeholders.
- Coordinate full administration of the Absence Management system, including recording Absence Forms, Return to Work forms, and guidance on absence procedures; identify trends and escalate issues as appropriate; ensure monthly absence data is accurate.
- Coordinate the Leavers process, including communication with service managers, handling resignation letters, removal from systems and timely archiving of documents.
- Administer employment contracts (including amendments and variations as required).
- Support annual leave calculations and yearly notifications to managers; lead on the annual leave Loyalty Award.
- Input and check data for the HR/Payroll database for accuracy.
- Manage Access NI applications in line with policy, ensuring timely processing and compliance with regulatory requirements.
- Support the Recruitment process as required.
- Coordinate staff badges across Northern Ireland.
- Support Employee Relations processes (investigation, performance management, disciplinary) with note taking and document upkeep.
- Take accurate notes for Investigation, Disciplinary, Grievance and Appeal hearings as advised by the HR Manager.
- Produce accurate reports for relevant meetings; analyze data to identify trends and concerns.
- Assist with the production of ONS reports and Subject Access Requests documentation as needed.
- Collate and index documents as required.
Qualifications & Experience
- Working knowledge in an HR-related role; experience in a social care environment is desirable.
- Proven ability to input, analyse and check data; high accuracy and attention to detail.
- Excellent written and verbal communication skills; ability to work in a team and meet deadlines.
- Proven experience producing high quality reports and meeting documentation.
- Familiar with Access NI and recruitment standards in Northern Ireland.
- Full UK driving licence and access to your own vehicle.
- Proficient in Microsoft Office (Excel and Word).
- CIPD qualification at Level 3 (minimum) or working towards this, or an equivalent third-level professional qualification.
