A global financial company is currently seeking experienced Team Assistants to work as Floats on a temporary basis for 12 months, with the potential to extend. This is working in an incredibly fast-paced environment, and the successful candidate will bring experience supporting teams at a high level.
FLOAT TEAM ASSISTANT ROLE:
- Managing a high volume of complex banker calendars
- Handling a high volume of phone calls, placing, receiving, screening, routing calls, and taking detailed messages
- Coordinating meetings and conference calls, maintaining banker contacts
- Organising travel, including flights, multi-leg international travel, visas, car transfers, hotel reservations, cash advances, and preparing itineraries
- Processing travel and entertainment expense reports accurately and on time, ensuring compliance with guidelines
- Interacting professionally and effectively with colleagues
- Performing general administrative tasks including copying, archiving, and filing
- Fostering a team-oriented environment, providing support and sharing responsibility with other members of the phone group
- Undertaking ad-hoc projects and duties as requested
FLOAT TEAM ASSISTANT ESSENTIALS:
- Minimum of 4 yearsβ experience working as an Assistant, preferably within the banking or financial sector
- Willingness to work 5 days per week in the office
- Communicate clearly and professionally in person, on the phone, via Zoom and by email when liaising with colleagues and stakeholders at all levels
- Demonstrate the ability to manage multiple time-sensitive tasks and priorities, remaining organised and focused under pressure
- Be confident using Microsoft Word, Excel and Outlook to a high standard, producing accurate and well-presented documents
