Aureos are seeking an Estimating Assistant to join our growing team in Bathgate. Working within Aureos’ Energy Business Unit, and forming a part of the Estimating team, the Estimating Administrator plays an integral part in delivering exceptional commercial results. Core responsibilities encompass Tender Delivery assistance, tender package compilation, supply chain engagement and to aid forecasting.

With sustainable growth in mind, our Estimating Administrator is responsible for assisting the estimating team in completing and maintaining preconstruction and construction tenders, contributing to the production of Tender forecasts, accurate tender reporting and independently able to create RFQ’s and engage supply chain for quotations. Reporting to the Estimator, you will assist the Estimating team in creating acceptable tender submissions, gathering quotations through defined RFQ’s with consideration of strategy and competent suppliers.

Tasks and Duties

  • Reports to the Estimator/Estimating Manager
  • Works alongside the Estimator, commercial and project delivery teams
  • Competently collating tender files including communicative documents
  • Inputting necessary information and requirements into RFQ templates and creating tender files consisting of the RFQ and relevant specifications and supporting documents
  • Maintain communication with supply chain to ensure timely quotation returns
  • The ability to re-quantify using site specific rates to gather pricing
  • Communication with other teams to register key costing implications, cost changes and data
  • Basic understanding of Commercial NEC or short form contracts
  • Attention to detail in filing key documents for smooth delivery to project team
  • Assisting in creating handover documents on completion of award
  • Registering information on Tender status and deadlines
  • Take part in meetings/Discussions around tenders, create meeting minutes where required
  • Consolidate and monitor TQ registers and status
  • Monitoring Tender portals for updates, end client communications and Tender deadlines/Status
  • Demonstrate constructive challenge, openly questioning assumptions, confidence statements, classifications, or implied decisions where evidence is insufficient.
  • Communicate clearly, respectfully, and factually, supporting informed discussion while avoiding advocacy for delivery outcomes or preferred solutions.
  • Apply governance standards consistently and fairly, irrespective of seniority, urgency, or commercial sensitivity.
  • Escalate governance non-compliance proportionately and professionally, without personalising issues or attributing blame.
  • Maintain confidentiality and discretion, sharing governance concerns through appropriate formal channels.
  • Ensure that no issues, risks or decisions meeting governance thresholds are resolved outside of formal governance processes.

Skills, training and experience

  • Proficient in Microsoft Excel with the ability to manage, analyse and present data accurately
  • Experienced in minute taking, producing clear, concise and well-structured meeting records
  • Demonstrates strong communication skills and engages confidently with stakeholders at all levels
  • Exhibits a strong commitment to learning and professional development, with a proactive and inquisitive approach
