Role Overview
We are currently looking for a Project Coordinator to provide on-site coordination and day-to-day project visibility for rail maintenance and refurbishment activity for our client in Southampton.
The Project Coordinator supports production planning and reporting, maintains accurate project data, helps ensure quality and compliance requirements are met, and acts as a key point of contact between site teams, the client, and the wider organisation.
The Role
- Operational Coordination & Reporting
- Update the daily tracker to ensure real‑time accuracy of project progress.
- Use Zoho forms via tablet for data entry and submission of site‑related updates.
- Maintain all completed unit updates within the main project spreadsheet.
- Track and log timesheets for all staff per unit, ensuring accuracy and timely submission.
- Provide support with reporting requirements, including preparation of updates for management and the client.
- Handle local client queries and escalations, resolving issues on‑site wherever possible.
- Escalate matters to the broader team when required, ensuring clear and timely communication.
- Attend weekly project meetings with the client, representing site activity and progress.
- Quality Control & Technical Checks
- Conduct film thickness testing related to corrosion control and paint application.
- Perform quality checking and auditing in accordance with inspection criteria and approved repair procedures.
- Record all paint batch information accurately for traceability and compliance.
- Inventory & Equipment Management
- Manage paint stock levels and coordinate re‑ordering with Client.
- Oversee equipment checks, ensuring all tools and assets are in good working order.
- Manage sundries stock, including monitoring usage and raising replenishment requests as needed.
- Ensure all Team Leader (TL) duties and processes are followed correctly by site personnel.
- Support resource management, tracking variance and aligning staffing levels with project needs.
- Provide general support to on‑site teams, promoting efficient workflow and adherence to project standards.
- Knowledge of H&S & site expectations.
Skills & Experience Required
- Experience working in rail, engineering, industrial, or similar project environments.
- Strong organisational and administrative skills.
- Ability to communicate effectively with clients and internal stakeholders.
- Proficiency with digital tools (tablets, spreadsheets, forms).
- Ability to work independently, with good problem‑solving capability.
- Experience with coating inspection, film thickness testing, or paint systems is desirable.
- Knowledge of quality standards within engineering or rail maintenance environments.
- Familiarity with Zoho or similar digital reporting systems.
