Job Requirements

What You'll Do

  • Office & Equipment, Everywhere We Work: From supplies to laptops, you make sure the whole team — UK, US, and India — has what they need, when they need it. You'll own equipment and supply ordering across locations, manage device issuance, and keep the London office running like a place people are glad to walk into.
  • Access & Records: New joiner, leaver, or role change – you make sure the right people have the right access, and nothing falls through the cracks. You'll also work closely with the COO to keep our systems of record accurate and current.
  • People & Recruitment: You'll support the Director of People with interview scheduling and coordination, act as the first point of contact on UK HR matters, and lend a hand with US office coordination and global HRIS administration.
  • Government & Compliance: You'll support our US-based COO to keep on top of Auquan's UK matters including immigration and taxes – liaising with authorities and advisors to keep the business compliant.

Job Responsibilities

Must-haves

  • A proactive, automation-minded approach – you notice repetitive work and find ways to streamline or eliminate it, including using AI tools.
  • Experience in an office management, operations, or executive support role, ideally in a fast-paced or scaling business.
  • Comfortable owning equipment, access, and records, with good judgment about what matters and what can wait.
  • Experience coordinating interviews or recruitment logistics across multiple stakeholders.
  • Discretion and sound judgement handling confidential or sensitive information.
  • High agency — you figure things out independently and follow through.
  • A genuinely positive, can-do presence in the office.

Nice-to-haves

  • Working knowledge of UK employment, immigration, or tax processes, or the willingness to learn fast.
  • Experience supporting HR, ideally UK-specific.
  • Experience managing shared or flexible office space (e.g. WeWork or similar).
  • Familiarity with Slack, Google Workspace, Microsoft 365, HiBob, HubSpot, Ramp, and Xero.

Job Benefits

This is a London-based, in-office role. You should also be comfortable collaborating across time zones (US, UK, India) with occasional travel.
