Overview
Role: Travel Operations Specialist (Sales Operations) — based out of the Witney office, Oxfordshire. Minimum 3 days per week in the office. Work pattern: 9:00–17:30 Monday to Thursday and 9:00–17:00 Friday.

The role: You will be responsible for the behind-the-scenes management of a client’s itinerary after booking, focusing on administrative tasks and end-to-end trip operation to ensure a smooth journey from confirmation to return. Duties include overseeing the booking process, issuing final documentation, and managing any incidents that affect the trip.
You will collaborate with the Sales teams (Country Specialists), other Audley teams (Operations, Product, Finance and Ticketing), and on-ground partners (Ground Handling Agents or GHA) to deliver quality service and trip satisfaction. Although not client facing, you will liaise with internal and external stakeholders, including Country Specialists and agents worldwide.
Responsibilities
- Oversee the booking process to ensure all itinerary elements are booked as per quotation; follow up promptly if a service is not initially available to confirm all trip elements on time (including flight bookings).
- When changes occur post-booking, work with the Country Specialist and GHA to modify the booking and keep the itinerary up to date and correctly confirmed.
- Follow documented processes to double-check bookings (including flights) once complete and authorised in the system.
- Ensure the booking is correctly confirmed with any errors corrected and follow-up actions diarised.
- Ensure the final booking record is accurate, including cost checks and error resolution.
- Prepare final travel documentation, ensuring accuracy and personalization to enhance client experience.
- Resolve supplier invoice discrepancies related to bookings you have operated.
- Partner with the GHA and Country Specialist to finalise all booking and flight details ahead of departure, cross-checking existing confirmations where applicable.
- Perform any other administrative duties necessary to successfully operate a trip.
Qualifications & About You
You will have a proven ability to achieve and exceed KPIs regarding attention to detail, speed of response, and work rate. The role is fast-paced and requires managing high volumes of work, so prioritisation is key. You should be an organized multitasker with a strong desire to get things right.
