About the Role:

Reporting to the Business Excellence Manager at Audience Group, the Resource Manager will oversee resource allocation & processes. Your responsibilities go beyond scheduling to ensure the team meets client deadlines as you will play a crucial role in keeping our work flowing and in developing our methods and tools for resourcing and project management. You will work closely with account managers, creative teams, and production staff to strategically allocate resources, manage timelines, and keep everyone on track.

The ideal candidate has exceptional project management skills and an eye for detail, has a passion to find and implement solutions, communicate and collaborate with others, and thrives under pressure to handle conflicts and balance competing priorities.

Responsibilities

  • Resource & Workflow Management – Manage resource allocation and scheduling of projects of all agency projects at a macro level to ensure projects move smoothly from kick-off to delivery, and deadlines are met without compromising quality. Determine the agency’s ability to take on new work requests within a given timeframe. Maintain accurate resource records and documentation, including resource schedules, utilisation reports and allocation decisions.
  • Resource Allocation – Assign work and keep workloads balanced across the team, coordinate internal team members across departments and external freelancers, matching skills, knowledge and availability with project needs. Monitor workflow and assess if freelance engagement is required. Build and maintain freelance database.
  • Timeline Management: Work alongside production staff to maintain detailed project timelines, proactively identifying potential bottlenecks and implementing solutions. Ensure the agency delivers work by (or ahead of) the agreed-upon deadline.
  • Budget Management: Liase with account directors & managers, creative teams, and production staff to track hours burned on each project to make sure projects stay on track and are delivered within budget. Work closely with the finance team to review and verify freelance timesheets, checking timesheets and invoices against purchase orders.
  • Processes & Reporting: Ensure adherence to resourcing processes, look to improve and refine processes and tools for efficiency and streamline resourcing, project management and the agency’s utilisation rate. Implement and maintain resource and project management tools, systems and processes to enhance visibility, transparency and efficiency. Support new hire and freelance onboarding to the resource process and ways of working at the agency. Provide regular status reports to leadership, highlighting project progress, resource utilisation and risks.

Skills and experience:

  • You have 4-7 years of resource management, traffic management and/or production management experience within a creative or marketing agency.
  • You are highly skilled with project and resource management methodologies, software and tools to track, analyse and report on resource utilisation.
  • You have a strong understanding of creative and event production processes, including design, copywriting, and digital development.
  • You have strong planning, organisational and multitasking skills: time-management, working on critical paths, budgeting, delegating, facilitating meetings, multi-tasking, attention to detail, follow up, etc.
  • You have excellent written and oral communication skills.
  • You are clear and proactive when you communicate and are able to manage multiple stakeholders.
  • You love and excel at building relationships, fostering trust and collaboration.
  • You have proven experience in maintaining strong freelance relationships and ensuring delivery to the highest standards.
  • You can direct and redirect when issues arise, maintaining a calm demeanour in the face of a challenge and knowing when to manage and when to escalate issues.
  • You are proactive and have a problem-solving mindset with a focus on delivering results under pressure.
  • You are flexible with the ability to shift focus or direction on a dime and juggle multiple projects at a time.
  • You have experience working with remote or geographically dispersed teams.
  • You are proficient in digital ways of working using Microsoft365, SharePoint, Microsoft Office (Word, Excel, PowerPoint, Outlook), CRM tools, G-suite and Google, Zoom, etc.
