Job title:

Medical Secretary / Patient Coordinator

Description

Have you worked in an ADHD or autism clinic, or do you bring lived experience of neurodivergence? You might be the medical secretary we're looking for.

About AuDHD Psychiatry

We're a fully remote private service specialising in ADHD and autism assessment and treatment for adults and children. We support clients from screening through diagnosis and ongoing medication management, including shared care with GPs. Many of our team are neurodivergent, and we're proud to be neuro-affirming for staff and clients alike.

The role

Part-time, around 20 hours per week, Monday to Friday, afternoons and early evenings. You'll work alongside our morning administrator to give the clinic full-day cover. Alongside core medical secretary duties, you'll be first point of contact for prospective clients: returning enquiries, explaining our service, helping people book, and following up with people who haven't completed a booking.

What you'll do

  • Manage calls, shared inboxes and client records in Carebit
  • Draft client and GP letters using approved templates
  • Handle enquiries and follow-ups, logging all contact in HubSpot
  • Support assessment reports, medication reviews, shared care and transfer-of-care processes
  • Manage fee and cancellation conversations calmly and in line with policy
  • Escalate safeguarding and clinical concerns promptly

What we're looking for

  • Experience working in an ADHD/autism clinic or neurodevelopmental service, or lived experience of neurodivergence (personal, or as a parent or carer). This is our most important requirement
  • Experience in a medical secretary, admin or customer service role
  • Experience with a digital patient-record or case-management system
  • Excellent, warm written and verbal communication
  • Strong organisation and attention to detail
  • Understanding of GDPR and confidentiality
  • Awareness of neuro-affirming communication
  • Healthcare or CRM/sales experience is a bonus

The details

  • Β£16 per hour, self-employed (a part-time PAYE contract is available for the right candidate)
  • Start between 1:00pm and 3:00pm, finishing around 7:00pm, with at least one evening to 8:00pm each week; flexibility for school or childcare collection
  • Fully remote (UK): you'll need a private workspace, reliable internet, your own IT equipment and a headset
  • Right to work in the UK and a satisfactory DBS check (or PVG/equivalent) required
  • Full training provided on Carebit, HubSpot, Calendly, Slack and Google Workspace

Shortlisted candidates will be invited to an interview that includes a short telephone exercise.
