RSS INFRASTRUCTURE Limited (RSSI) has been recognised by Network Rail at the 2018 ‘Rail Partnership Awards’ for its work within the Rail and Construction industry, developing bespoke solutions for clients that deliver improved safety and productivity. From its offices in Birmingham and Doncaster, RSS Infrastructure has over 70 directly employed staff members and a diverse contingent labour workforce that cover the majority of the UK. The company has developed a service portfolio that includes: Overhead Line Electrification, Vegetation Management, Track Access, Civils/Construction solutions, Safety Critical Resource Services, Magnetic Safety Barrier Fencing, Magnetic Points Boards, Signalling Services as well as being the UK’s sole provider of Track Warning Systems.
As a Resource Co-Ordinator working nights at weekends you will ensure all business units of RSS are supported out of office hours and act as the out of hours cover for all issues arising from customers or the RSS workforce. You must be available to work 3 x 12 hour shifts (36 hours per week) from Friday 20.00 until Monday 08.00. A clear and confident communicator you will ensure that clear communication lines between departments, their respective workforce and clients exist to ensure day working teams have clear understanding of ongoing situations across the business. You will also act as a safety ambassador to the workforce and client base by reaffirming RSSI safety values.
On a day to day basis, your main duties and responsibilities will include:
- Receiving out of hours calls from customers and/or contractors dealing with and resolving issues across RSS business units and if unable to resolve, prepare handover for follow up by office staff during regular working hours.
- Updating the internal system (Aspire) in accordance with evening handover to ensure internal and external requests are met.
- Logging all out of hours activities on relevant system (Aspire) including (but not exclusive to) calls, incidents and follow up actions where required.
- Immediately following up out of hours complaints and prepare detailed handover for relevant internal department.
- Taking responsibility for enhancing on track relationships with both client and RSS’s contracted workforce.
- Ringing every worker two hours (or as dictated by the company process) before every shift to ensure worker is still available for shift and where not, replace and/or ensure client is informed.
- Engaging with all night time RSS workers on a nightly basis ensuring they are on time, correctly briefed and have relevant PPE and tooling for the job.
- Conducting immediate internal investigation into all exceedances and close out where possible by way of handover to HoD’s/Compliance Manager.
- Collating HSQE briefs and ensure Close Calls, Site Inspections and Safety Conversations are monitored and recorded on relevant system (Aspire) and cascaded to Department Heads, H&S and Compliance.
- Preparing all orders and workplans for the Administration Team and ensure Macrail matches timesheets to avoid invoice delays and assume responsibility for sub-sponsorships where and when relevant.
- Log all competence, small tools expiries and training needs ensuring workers are compliant at all times.
- Prepare detailed nightly handover report for oncoming teams ensuring all information has been recorded and reported on relevant system (Aspire).
- Ensure 100% compliance to all company processes, procedures and management systems.
- All telephones are answered within a specific number of rings, as determined by the business, all clients and candidates have calls, emails or messages returned within 1 hour (or timescale set out by the business) where possible, but all have calls returned before the end of shift or included in the handover.
- Where required attend training and competency development courses as directed by the Company.
The successful candidate should possess strong administration and customer service skills and be available to work 3 x 12 hour shifts on Friday, Saturday and Sunday night from 20.00 - 08.00. Previous experience of the rail and/or construction industries would be a distinct advantage in order to understand the varied needs of an ever changing and growing client base, although this is not essential.
