What will I be doing?
On a day‑to‑day basis I will support up to four group directors, ensuring efficient diary management, email screening, prioritising and filtering, and travel planning. I will work closely with the Directors to record, implement, and review all business plans and actions, allowing them to focus on business and client development. The role includes organising meetings, preparing presentations and documents, and taking minutes.
Key responsibilities
- Ensure time is created for the Directors to focus on business growth, removing non‑essential tasks and administration.
- Prepare presentations, reports, and KPI reports.
- Confidential minute taking, document preparation, and email management (sifting and responding where appropriate).
- Attend events to represent the business when necessary.
- Support Directors in implementing and managing business plans, managing action logs, and liaising with Directors or HoDs to chase outstanding actions.
- Answer the telephone, manage diaries, and coordinate meetings and events.
- Coordinate and plan all travel and hotel requirements for the company, managing costs and centralising the process.
- Schedule and ensure completion of Directors 1‑2‑1 meetings, keeping copies of action logs and reviews in the HR system.
- Attend training and competency development courses as directed by the Company.
- Achieve, at a minimum, the objectives and KPIs set by the Directors and contribute to the PA job role’s success through open discussions with Directors.
- Perform any tasks required by the business across the Group companies to ensure compliance, safety, and continuity.
What experience would we like you to have?
- Knowledge and experience of using MS Office products (Word, Excel, PowerPoint).
- Previous experience working in a customer‑focused environment.
- Ability to work confidentially and communicate face‑to‑face and over the telephone.
- Knowledge of office procedures, with accurate record‑keeping and attention to detail; ability to work to right‑first‑time principles and meet strict deadlines.
- Prior experience as a Personal or Executive Assistant at board level.
